Our Client is a niche property management company set up to provide high quality management services for owners who truly care about their real estate assets and their tenants. Through its experience and understanding of asset and investment management, our Client knows the meaning of 'excellent service' and why it is so important to the long-term success of an investor. By managing the day-to-day running of its clients’ buildings and by creating a direct relationship with each and every tenant, they are able to bridge the gap that all too often exists between asset and property management. They are looking for a Commercial Property Manager to join their team Are you recently RICS qualified? Experience in commercial property? Responsibilities Assist with the management of all operational matters within the portfolio Manage tenant relationships in a manner that supports long term value and the Company's brand Assist with the developing and motivating staff resources to increase their quality over time, through mentoring, training and development and recruitment, influencing the FM service provider to do the same Instil a culture of excellent occupier and visitor customer service and engagement throughout the direct reports, both internal and external and the personnel employed To advise line manager of portfolio-wide improvements, encompassing customer service, security, property management to including major service charge works and projects, market trends, facilities for shoppers and visitors and all other forms of attractions and amenities. Deliver a world class property management service, at a minimum in accordance with RICS guidelines Where appropriate draft tenant communications regarding major plans and works across the estate Develop and manage all events promotions, seasonal activities/decorations, and all other forms of public entertainment as required Develop use of technology and management systems to enhance operational efficiency and customer service Promote sustainability (ESG strategy) and efficiency across the portfolio. Manage property costs on individual buildings and ensure cost efficiency Ensure compliance with any leases or statutory requirements Understand changing customer needs and develop solutions to help meet customer expectations Monitor and report on compliance with H&S and environmental policies Provide project management support, direction and oversight, working closely with our in-house and external building surveyors. Detailed Tasks Identify lease obligations for property management and ensure these are reflected in service charges Prior to budget creation, inspect buildings and identify where major works are required (ensuring suitable quotations are secured for budget purposes) and confirm correct schedules reflect correct charging Provide written communication to customers of any major works to be carried out on their building at least 3 months prior to any work budgeted or starting Create accurate service charge budgets (parameters to be agreed) with input from asset management and supply chain, seeking sign off from asset manager, within agreed timeline Send out service charge budgets to occupiers, in accordance with RICS guidelines Ensure Finance team have correct budgets for the production of on-accounts at least 4 weeks before due date Regularly review (at least at time of new budget development) service charge caps and apportionments to ensure they are still appropriate and RPI increases have been applied where appropriate Deal with all queries from occupiers regarding service charges to a successful completion in a timely manner Monitor budget vs expenditure variances and ensure actuals do not exceed /- 10% across any service category Ensure year-end reconciliations are completed and sent out not in accordance with RICS guidelines Assist with issuing rental demands and the collection of rents Review Health and Safety Fire and Risk Assessments in common areas at the appropriate timescale, ensuring actions are completed to the relevant priority levels Oversee the project management of external or internal PPM works/asset management works Deal with any complaints regarding supplier performance, communicating to customers approach and desired outcomes Liaise with the asset management team As appropriate, deal with any insurance claims arising in a property, liaising with insurance company and collating costs from supply chain Regularly visit and inspect properties and attend meetings with customers when there are contentious issues to be discussed or major works to be carried out Work with the building surveyors to put in place a 10 year PPM programme for each building Review the work done by approved contractors and ensure they offer "value for money" and deliver in a customer focussed way Monitor and report on compliance with H&S and environmental policies Provide project management support, direction and oversight, working closely with in-house and external building surveyors Deal with any insurance claims arising, liaising with insurers / loss adjusters as appropriate Assist in identifying and capitalising on any business opportunities that arise Skills Experience of working in a high-end customer facing environment Service charge budget creation, management and reconciliation Detailed lease knowledge, understanding and experience in covenant reviews and implementation Supply chain management Procuring and managing small building projects Team player, seeking to develop and prepared to take on new challenges Self-motivated, working independently and as part of a team Good verbal and written communication and presentation skills
