Overview

Our client is seeking a first class PA to support a CEO and occasionally COO The successful applicant will be required to provide the highest quality PA and administrative support as well as acting as the initial point of contact. You will manage a very busy diary, travel and accommodation; coordinating agendas, briefings, other meetings and materials as required. You will also take responsibility for ensuring that meetings run effectively and are delivered to the highest standards. The successful candidate will have excellent PA skills and experience of effectively supporting senior Executives to achieve their priorities. Discreet, professional and highly efficient you will be able to handle confidential information with discretion and tact, and build effective relationships with a diverse range of internal and external contacts. This role is within a very dynamic fast paced organisation and this role is pivotable in ensuring that all meetings run smoothly and efficiently. Responsibilities Working with the CEO Being the CEO’s right-hand person. Understanding what are the immediate priorities and what aren’t. Working closely with the CEO to ensure key people are responded to, issues are resolved or escalated where appropriate. Acting as a strict gatekeeper of issues (including emails and diary) to make sure the CEO’s time is optimised. Solving the things that aren’t a good use of the CEO’s time. Planning and researching key meetings and ensuring the CEO is fully briefed and prepared (including ensuring all presentations, materials, equipment, travel arrangements, meeting room arrangements, call logins and caller’s details are at her fingertips) Drafting correspondence and documents on behalf of the CEO. Keeping in touch with the agency’s "pulse" - being an extra set of eyes and ears around the business. Working with the COO Working with the COO on key projects for the business such as maintaining management information and HR reports. Acting as a liaison point for all Omnicom departments, including Finance, Company Secretarial and HR, and building a network of key contacts to be able to resolve issues quickly and without guidance. Overseeing the office and its facilities, including the management of supplier contracts. Taking on greater operational responsibility around the business, as agreed with the CEO and COO.
