Team Assistant – Insurance City of London Permanent £35,000 – £40,000 Benefits Bonus A respected Insurance firm based in the heart of the City looking for client facing Team Assistant to provide seamless support to the Managing Director and Chairman with additional support to a team of direct reports. WHAT YOU’LL DO Extensive diary management International travel coordination and liaison with overseas offices Booking hotels, cars, and flights for overseas meetings within budget guidelines Expense and invoice management Inbox management Composing correspondence in draft for the Directors and team Meet and greet clients in a professional manner Building and maintaining relationships with clients Organisation of client itineraries Minute taking and accurate filing of all necessary documentation Meeting room management Arrange lunches and assist with the co-ordination of corporate events where required Accurately relay phone messages to the appropriate personnel Maintain various records, e.g. holidays & absences To update Excel spreadsheets and create PowerPoint presentations where required Provide ad hoc assistance to other PA/secretaries in the Company where required Additional ad hoc projects Adhere to relevant legal, regulatory and compliance requirements WHO YOU ARE Ability to use initiative to prioritise and action tasks accordingly Accurate data input into reports and presentation Someone with meticulous attention to detail Ability to develop strong relationships with both internal and external clients Excellent written and verbal communication skills Ability to work autonomously and seamlessly in a team Strong MS Office, Audio and Speed Writing skills Able to maintain discretion Able to hold their own working with strong personalities Experience working in the insurance industry is desirable
