Overview

Our client, a leading Live Entertainment Company requires an experienced EA to support the Senior Director whilst also managing the office in the heart of London. This theatrical production company focusing on musical theatre in Europe, operates a vast network of theatres and has played a key role in the development and widespread popularity of the musical genre on the European continent and y ou will ideally come from a similar creative background and provided first class support at the same senior level. Hours : 10am-6pm Location : Central London Salary : £35-40k Start Date : IMMEDIATELY Interviewing : IMMEDIATELY Responsibilities include, but not limited to: EA Managing diaries across time zones Booking domestic and international travel arrangements, including flights, hotels, trains and cars and securing visas Arranging all meetings and calls internally and externally Liaising with a large team of internal colleagues of all levels across European territories, as well as external contacts from all backgrounds including; celebrities, notable industry figures and high profile talent Drafting and circulating meeting agendas to support Directors and their teams Always being one step ahead of the Directors diaries, ensuring deadlines are met, any urgent issues are flagged and relevant information for meetings is presented in a timely manner Completing credit card expenses and personal expense claim forms Organising tickets for shows and events Purchasing gifts for opening nights, birthdays etc. Office Management Being first point of contact for all calls, emails and UK office visitors and ad hoc requests Arranging meeting room as needed and preparing refreshments Ensuring office is always fully stocked with stationery and hosting supplies IT troubleshooting Maintaining office equipment Main key holder for UK office Dealing with any other ad hoc office management tasks as required Other Responsibilities Management of holiday tracker for international creative team, scheduling meetings in line with availability Supporting international colleagues with ad hoc tasks, such as travel arrangements and purchasing show tickets Dealing with administrational requests for TINA, The Tina Turner Musical, with external General Management office Online research to support the Directors as required Preferable but not required: support in creating PowerPoint presentations Collating weekly press clippings Candidates must be / have: Proven experience in a similar role (background in the arts/entertainment preferable) Strong IT skills (Microsoft Office, Excel, PowerPoint & Adobe Acrobat), with confidence in trouble shooting and resolving problems Strong ability to prioritise Excellent organisational and communication skills Ability to work independently and be proactive in managing your time Efficiently Fluent English speaker (Dutch and German language skills preferable) Personal specification Friendly and approachable with a ‘can do’ attitude, and a good sense of humour A team player that is willing to help colleagues across the company as required Flexible in adapting to changing schedules Ability to work autonomously and from own initiative Able to build strong relationships with team members based internationally via email and phone Trustworthy in dealing with confidential and sensitive information Benefits: Statutory holiday of 26 days Bank Holidays (days in lieu given for Bank Holidays worked) Pension and private healthcare Statutory sickness _________________________________________________________________________________ IMPORTANT We receive a considerable amount of applications for every position and there is tough competition in the employment market.
