Overview

PA TO CHIEF OF STAFF WITHIN FAMILY OFFICE . We are recruiting a PA for an exceptional client, based within their family office. This PA role is based at the heart of the Family's Philanthropy Foundation. The family are involved in the media and art world, whilst also being involved at top level within other creative industries. Their life is divided between homes in London and the country and they travel extensively to ensure all their international commitments are met. Main elements of this PA role will include the following:- Co-ordinating extensive diary arrangements with a variety of stakeholders. Complex global travel arrangements and ensuring itineraries are accurate including coordinating lunches and dinners and at times private diaries Ensuring the HoPO is fully briefed ahead of each meeting. Researching information on individuals they are due to meet and collating any papers / documentation that may be needed before hand, including these are read in time. Responding to emails on the HoPO’s behalf Drafting Correspondence Preparing and editing presentations, minutes of meeting and following up on actions as needed on her behalf Building and maintaining the electronic and paper filing system across The Private Office Expenses Management Budget tracking on behalf of the HoPO Acting as the Gatekeeper to ensure HoPO schedule is fully controlled. Booking meeting rooms, soring out events and ensuring the IT is set up correctly Meeting and greeting visitors and hosting small gatherings as needed Working as a team across the structure to ensure office management duties such as stationary, IT systems, Kitchen provisions and general office management is all running smoothly Supervision of contractors / tradesmen whilst they are on site Keeping up to date records of insurance contracts / building maintenance / equipment maintenance and flagging up when renewal dates arise Occasional personal errands for HoPO You will need a minimum of five years PA experience supporting an individual who requires a high level of support. You will need to be a really strong diary manager ensuring the diary doesn't become too crowded You will need to be confident at forging really strong relationships with staff at all levels, whether it be the Principals or the domestic staff. You will need to be an effective gatekeeper whilst ensuring that the office feels welcoming and informal. This position will put you into really one-off situations where no two days are the same. This PA position is based within the family office, amongst a loyal and sociable team. This PA does not require 24/7 / weekend support and no attempts to make contact are made during Annual Leave.
