Overview

Morgan Hunt are currently recruiting for an experienced PA to join the senior team of a leading FE College. With a turnover of £110m, 30,000 students and 2000 staff it is one of the strongest and most influential further education organisations in the country. We are currently looking for a confident and efficient Personal Assistant to support the Deputy CEO across all sites, including Epping, Hackney, Redbridge, Havering and Poplar. Purpose of the role as PA to the Deputy CEO: To provide a full secretarial support service to the Deputy CEO including leading on the administrative requirements arising from areas and responsibilities of the Deputy CEO You must be able to travel between sites throughout the week to support the Deputy CEO at each campus. The role of the PA to the Deputy CEO includes Day to day administration, diary management and minute taking. You will play a key role in co-ordinating their calendars, work tasks and overseeing agendas and day to day administrative tasks. A key part of the role will be anticipating their needs in relation to the planning of their work schedules, and the forward planning of meetings and events. The Personal Assistant will act as a focal point for enquiries from internal and external stakeholders as well as staff and students. You must be able to plan and progress a programme of work to strict deadlines and have excellent oral and written communication skills. An excellent eye for detail and accuracy is paramount. You should possess proficient computer skills and an expertise in the use of software packages and applications, including the MS Office suite namely Word, Excel and PowerPoint. A willingness to work flexibly and to adapt quickly to changing operational needs is essential as you will occasionally be required to stay late. Particular to the post: To provide a full secretarial service to the Deputy CEO including diary management and coordinating responses to correspondence, liaising with professional advisers and external stakeholders, organising administration and planning processes, minuting meetings, dealing with internal and external enquiries at all levels, and arranging hospitality for internal and external meetings. Arranging travel and accommodation as required To provide full administrative support for highly confidential and sensitive matters (including disciplinary cases and grievances) as required To prepare documents, reports and presentations for internal and external purposes and meetings and to ensure that the College is presented in a professional manner at all times To lead on the administrative processes required to support the Deputy CEO perform his duties To support teams in organising whole College events and formal visits when required To work as part of a team with other admin staff providing a PA service to SMT as and when necessary To undertake any other duties as may reasonably be required at the request of the Deputy CEO In common with all other staff: To support the College's mission, vision, values and strategic objectives To implement the College's Equality and Diversity policies and to work actively to overcome discrimination on grounds of all protected characteristics; sex, race, religion/belief, disability, sexual orientation, age, pregnancy/maternity, gender reassignment status, marriage/civil partnership status; To take responsibility for one's own professional development and participate in relevant internal and external activities; To participate in College-wide projects and tasks To work in other support services areas to meet the specific needs of workload peaks as required Such other duties of a similar nature commensurate with the grade as may be required from time to time.
