Job Title:Legal Archiving and Facilities Assistant Location:Preston Salary:Negotiable DOE Are you highly organised with excellent attention to detail? Our client is enjoying year on year growth, and they are now looking for a Legal Archiving and Facilities Assistant, primarily based at their Preston location, but including travel to their other sites. This is a varied role supporting the Facilities Manager and maintaining the smooth operation of the firms archiving needs. Key Duties of the Legal Archiving and Facilities Assistant: Opening, sorting and distributing incoming mail Arranging for equipment, stationery and files to be moved around and between offices Ensuring appropriate stocks of stationery/refreshments items are maintained and re-ordered as necessary Replacing defective light bulbs/tubes and maintaining stocks of same Liaising with contractors as necessary Weekly checking of office fire alarms General office maintenance as required Monitoring and updating the facilities helpdesk Completing monthly/quarterly checks Administration of employee ID cards Completing minor maintenance and repair of office furniture and equipment Ensuring waste and confidential waste is managed and prepared for collections Assisting with any office relocations, as required Using the firms case management system to close files and ensure all storage data is recorded Create records for deeds/will etc Liaise with any external contractors regarding collection and return of files/deeds Deal with internal queries relating to archiving/archived documents Liaise with fee earners to prompt them for files for closing and assist with those The Successful Legal Archiving and Facilities Assistant: Ability to manage and prioritise tasks Excellent attention to detail Strong IT skills with knowledge of Microsoft office packages Case Management experience Willingness to learn Ability to attend all offices as required Previous archiving experience & experience of the Proclaim system is a distinct advantage Our client offers a fantastic industry leading onboarding process with a wide range of benefits including continued development and learning opportunities, 28 days holiday bank holidays, pension scheme and much more For more information on this Legal Archiving and Facilities Assistant role, contact us today.
