The team is rapidly expanding, and you will have the opportunity to work on a number of complex and interesting projects with clients across many sectors (banking, government, retail, gaming and financial services). The Job This is a brand-new job within the company which was created to offer support to the Finance and HR team whilst also offering wider office management support across two office locations in Reading and Mayfair. As such this job will suit a bright graduate looking to develop skills in these areas through on the job training and the opportunity to attend training courses in line with the job requirements. Job Breakdown Finance • Assist with the management of accounts payable and sales invoicing • Managing supplier payment runs • Maintaining accounts receivable ledgers • Collecting cash and payroll administration • Purchase order management • Credit card and expense processing • Weekly preparation of the outstanding debt and purchase order report for the Finance Controller HR Administration • Ensuring all contracts, offer letters and ID Documents are kept up to date for the business and renewing them as and when required • Assisting in the recruitment process, from drafting online advertisements, liaising with recruitment agencies, selecting CVs, through to scheduling interviews and subsequent follow-up • Drafting and distributing contracts of employment with offer letters for new starters • Set up and co-ordinate requirements for new starters, organising inductions and following up with adding new starters to all HR systems • Updating leave and absence software to ensure records are kept up to date and running reports for line managers • Co-ordinating performance appraisals, job score cards and collating information for personnel files • Gathering together training requirements across the organisation, selecting and negotiating training course content and updating the training course spreadsheet accordingly • Filing and maintaining the personnel files, ensuring that they are kept up to date • Researching and providing feedback re HR policy and best practice • Maintaining and updating organisation charts • Other HR tasks as and when required Office Administration • Deal with all incoming calls in a professional manner, answering queries where possible, fielding non-essential calls, transferring other calls and forwarding messages to relevant staff or department • To support the leadership team in organising meetings (both internal and external) and negotiating costs • Morning housekeeping checks e.g. ensuring all supplies are fully stocked and office equipment, updating the PO & Cost sheet and updating the finance department • General housekeeping of reception and client areas - ensure that area is kept neat and tidy at all times and all literature up to date • Internal meetings - organising rooms, greeting visitors and ensuring they are offered refreshments. • Arranging and preparing lunches for client meetings or training • Opening post and circulating accordingly to the relevant staff or department • Assist in booking travel and accommodation for staff (for which advanced authorisation must be obtained) • Scanning of all other documentation and distributing as requested • Arrange birthday cards, baby gifts, leaving collections etc. when required • Organising events i.e. Christmas party and company meetings for the business, negotiating costs and following up with all tasks involved The job is based 4 days per week from the Reading office and 1 day per week from the Mayfair office.
