IT PMO (Senior IT PMO Analyst) - Maidenhead - Vaccine Company Until August initially £400-470pd Inside ir35 - PAYE/umbrella applications only (no PSCs will be considered) One of the largest influenza vaccine companies in the world and a major partner in the prevention and control of influenza globally. This is a new role to run and maintain PMO defined processes. This role will support the PMO Team manage the project framework, its processes, artefacts and tooling. The role will also provide PPM Tooling design and configuration expertise. Role Description: This role will support the PMO Team including: tracking and reporting the status of the IT portfolio of deliverables, milestones, products and checklists; portfolio level risk and issues; coordination of the regular project and portfolio level reporting cycles, monitoring the status of projects transitioning into normal service; co-ordination of project stage gates, co-ordinate post Project Reviews. Assisting the PMO Manager with defining and updating the project management framework and governance, assisting Project Managers on large projects, contributing to Quality Reviews, and co-ordinating activities in support of quality objectives. More about the role: The role will need to influence senior and junior employees, negotiate acceptable solutions and communicate at all levels, act as ambassador and champion. There will be no direct reports. Collaboration and ongoing relationships are essential to the success of this role. The stakeholder group will predominantly focus on the project and programme management community and key senior management stakeholders. This role will need to continually innovate and drive improvements in process. Some of the process steps will need to be highly complex and requires good knowledge and experience. Accountabilities Operate the project portfolio master records Maintain awareness of the full IT related project portfolio. Operate and maintain the IT portfolio registration and reporting processes and procedures to provide visibility and insight of the IT portfolio by providing consolidated reports and analysis including the facilitation and normalisation of the data. Ensure appropriate adoption of the processes and procedures in accordance with the requirements of the PMO and also meet the minimum requirements of the external auditor's needs. Ensure the processes remain fit for purpose and efficient. Work with the stakeholders to implement improvements, remove duplication and streamline processes where appropriate. Provide, train-out and operate any PPM tool. Operate the project and programme framework governance Manage and maintain all IT related project stage gate requirements (i.e. financial authorisations, documentation production & review / approvals, reporting etc.) are adhered to in accordance with PMO Processes, Polices & Procedures. Setup and operate the governance meetings ensuring that the meeting purpose and objectives remains inline with the ToR. Co-ordinate the phasing of Stage gate review meetings and associated papers. Quality assure stage gate and governance deliverables and processes across the project. Support the development and migration of Programmes and Projects onto the PPM Tools Identify items for reporting/escalating to Project / Portfolio Board. Manage the portfolio board action/decisions list. Prepare/co-ordinate/distribute agenda and board papers. Create and maintain timely visible project and portfolio reporting Collate, summarise and distribute standard and specific portfolio reports, for project portfolio and on-going management needs. Undertake the analysis on the portfolio metrics and create reports which are informative and provide insight to management. Create and maintain reporting of project at the portfolio level for risks and performance to foresee issues in a timely manner. Drive and champion owners to collaborate to consolidate reporting requirements? Drive and champion reporting standards to enable honest and open reporting? And other job duties that may be assigned from time to time Monitor and maintain data in business-wide and local systems that support the IT Project & Portfolio Management methodology, ensuring data integrity between all systems. Carry out general administration including upkeep of the PMO user manual, attending to the PMO shared email accounts, updating the reporting distribution lists and managing the shared drives owned by the PMO. Knowledge / Skills / Competencies: PPM Tools experience - incl. design and configuration Reporting experience, incl. report creation and publication Very good attention to detail - poor detail attention should NOT apply Previous experience of working in a Project Management Office or a large programme environment preferably at a senior administrator level Minimum Experience Requirements: 4 years of experience in the area of PMO that directly aligns with the specific responsibilities for this position, including 3 years of senior PMO Analyst. Minimum Education Requirements: Bachelor's degree or equivalent experience; educational concentration in IT or related discipline is preferred. PMO Certification / Training preferred. Travel Required: Domestic with very occasional travel globally.
