Overview

Reporting to the Office Services Manager, required to take the lead in the day to day Office Service and Facilities function at the Redhill, London, Leeds and Newcastle offices and provide remote support to the homeworkers. To be the point of contact for Landlords, Solicitors and Local Authorities in relation to building leases and regulatory relationships. Maintain the ISO14001 accreditation. To adhere to all Health and Safety processes and work with the team to progress any amendments as required adhering to all Group policies as required. To manage and co-ordinate the EES flexi-time system across the business. Deputise for Office Services Manager during periods of absence ensuring the office is run efficiently and effectively, supporting the team of Directors as required . Activities Management of building leases (Redhill/Leeds/Newcastle) including liaison with landlords and local authorities, being actively involved in lease negotiations and ensuring all elements are in place to enable TGP to plan its finances and future development. Plan and lead all infrastructure changes, co-ordinating with internal and external parties, negotiating costs, manage within agreed timescales, within budget and with minimal disruption to all involved. Drive the day to day Office Services and Facilities function at the Redhill, Leeds and Newcastle offices and provide remote support to the homeworkers. Ensure services are delivered in a safe, efficient and effective way. Maintain ISO 14001 accreditation through planning, arranging the audits and ensuring all required actions are implemented. Develop and implement plan to gain Carbon Neutrality accreditation (Carbon Trust). Work with the team to ensure all Health and Safety, Fire, First Aid and Security policies are designed, implemented and maintained within regulatory guidelines and in line with Group requirements to provide a safe working environment for staff and visitors. Ensuring we are always compliant. Mitigating any risks as appropriate. Maintain Disaster Recovery information, liaising with IT to keep updated in line with business changes. Monitor relationships with 3rd party service providers including, but not limited to, corporate travel provider and approved suppliers. Ensure these providers deliver the required services effectively at competitive rates. Manage and co-ordinate the EES flexi-time system across the business. Liaise with HR and Line Managers to achieve low number of anomalies to ensure accurate information can be gained from the system at any time. Support the CSR Committee in the delivery of company initiatives. Ensure alignment with group objectives. Deputise for Office Services Manager during periods of absence. Ad hoc reporting, analysis and project work as required. Context and environment Working within the Redhill office, this is a pivotal role to ensure the Office Services team deliver a highly efficient and effective Office Service and Facilities function across the business . The job holder will be expected to make occasional visits to other office locations - London, Leeds & Newcastle.
