We have a fantastic 18-month opportunity for you to join us as a Regional Administrator to work from our Central London office in Fleet Street. As the Regional Administrator, you will support the Southern Region with Operational, Security Industry Authority (SIA badge) Licensing, Administration and general Office Support, including reception cover. To provide operational support in the coordination and maintenance of regular reports from Client's sites and WJ. Support the operational management with administrative tasks, ordering and raising purchase orders of uniforms, equipment and other consumables. To liaise with the WJ procurement department for obtaining costs of consumables, setting up suppliers and for any additional purchases. Maintaining positive relationships with suppliers and service partners. Assist, arrange and coordinate operational management meetings/seminars and act as a note-taker for investigation and disciplinary hearings, booking of travel arrangements and accommodation and meetings both internally and externally. Support Southern Region in day to day administration duties which may involve occasional visits to site locations around the Southern Region. Meeting and greeting staff and visitors, ensuring they sign-in/out using the Visitor Management System and informing the relevant member of staff of their arrival. Answering, screening and transferring telephone calls, taking brief messages and directing to the relevant departmental persons via the email system or connecting callers to staff member's extension line. Monitoring and ensuring the reception area is kept tidy and projects a business-like image. Booking and managing the room booking system and ensuring it is adhered to. Arranging couriers and checking and signing for deliveries, before informing the relevant member of staff of their arrival. Essential Skills Previous Administration experience in a similar role PC literate with strong keyboard skills. Intermediate knowledge of MS office suite including Word, Excel, Powerpoint Excellent interpersonal and written communication skills Ability to interact effectively with internal and external customers at all levels Excellent organisation skills with the ability to prioritise conflicting deadlines Demonstrate reliability including the ability to deliver high standards of both punctuality and attendance in order to ensure team effectiveness and availability Able to demonstrate an ability to work as part of a team. Able to deal calmly and confidently with all demands from the public.
