Overview

Job Summary We are looking for a new Service Administrator to join the team As a Service Administrator, you would be supporting in all administrative functions and processes across our North East Essex and South East urgent care and telephone triage services. Although you would be based in our Colchester office, you would be liaising with managers, team members and clinical staff throughout Care UK to ensure efficiency with reports, data collection, rota filling and training. This would be a full time role, Monday to Friday. The role would be based in our Colchester office but may require travel to our Clacton and Ipswich sites as and when required (potentially a weekly basis). If you're an experienced administrator looking for a varied role within healthcare, then this may be the role for you Key Responsibilities • To provide administration Support to the Service Manager and NEE Management Team working in conjunction with the Service Co-ordinator and Operational Supervisor. This will include any new projects taken on by the organisation. • To attend internal meetings to minute take and circulate minutes and monitor and update all action plans post meetings to those attended as required. This will include ensuring feedback and ongoing monitoring of any plans This may include aspects of diary management and organisation for the team. • Assisting the Service Co-ordinator in the day to day review and management of training requirements for all NEE staff and clinicians ensuring there are timely reminders. • Telephone answering/filing/faxing and photocopying. • To ensure the maintenance of administrative systems, including Administration, IT equipment and stock and uniform ordering, This would include petty case and purchase orders. • To ensure all site maintenance issues are reported and resolved with the landlord for all NEE locations • Work with the Management team to assist with audit compilation, investigation and feedback where necessary, ensuring that all letter templates are issued and processes followed • To assist to ensure action is taken both proactively and reactively ensure to cover for the operational Rota. All queries, allocations, AL updates and changes are completed and amended in an effective and timely manner. • Monitor all NEE group inboxes and review and sign off invoices received against rota. • Ensure that all information, in particular financial information, is correctly recorded and updated on the rota master system. • Build relationships with all clinical staff to ensure effective communications and assistance where necessary with covering sessions at short notice. • Assist with recruitment, interviews and note taking. • Ensure escalation to the NEE Management Team of any unforeseen risks such as shortage of staff on the rota or sickness or any ongoing concerns. • Send confirmations, request emails, Management Communications and audit results to clinicians as requested. • To ensure smooth and effective handover with other members of the team. To cover in the absence of other team members for AL/Sickness. Accuracy and attention to detail. •Excellent communication and telephone manner •Experience in an office environment •Customer service.
