EA to Chief People Officer & Heads of HR - LAW FIRM - initial 12 month contract £40,000 The objective of this role is to provide high level support to the firm's Chief People Officer and Heads of Department in HR. To ensure success in this role the successful candidate will need to develop strong relationships across the firm, in particular with the CEO's office, with partners within the Board and Management Committee, the finance department and other key departments (Corporate Development, Partner HR and the International HR team). The role will be pivotal in ensuring a seamless service is provided on work which overlaps these departments The role will require you to: - To be fully involved in all aspects (operational and strategic) of the Chief People Officer's role. - Deal with day to day demands e.g. preparing spreadsheets, preparing PowerPoint presentations, handling highly confidential matters, dealing with enquiries, ensuring progress on matters and efficiently managing activities. Tasks include but not limited to: - Working with the Chief People Officer, Partner HR, Corporate Development and CEO's office in assisting with preparation of sensitive and confidential information/documentation regarding partner appraisals and profit share ("allocations") (including copying, filing, typing). - Co-coordinating the annual allocations cycle including maintaining Allocations calendar, organising various meetings, and ensuring all documentation is provided in a timely manner. - Undertaking appropriate research for the Chief People Officer. - Building relationships with partners, in particular Board Members and the various Heads of Country, Practice and Sectors and HR managers Internationally and be a first line of call for queries. - Manage diaries for the Heads of HR (UK), of Learning & Development and of Partner HR as well as the Chief People Officer. - Manage the Chief People Officer's email account, dealing with unsolicited emails appropriately and ensuring that the diary has sufficient down time each week. - Assisting the Partner HR recruitment function with diary management, specifically arranging interviews for lateral hire partners and scheduling integration meetings (on a global basis). - Working closely with the Chief People Officer to manage international workload. Know what needs to be done and making sure tasks are achieved. Taking minutes on conference calls, converting minutes into actions and keeping track of actions. Understand and manage the annual calendar, understand business cycle and organise travel arrangements as necessary. - Undertake research, the design and preparation of presentations on specific projects or policies for communication at Board meetings or within the wider partnership. Managing appropriate meetings of HR Professionals from across our offices (e.g. structure, management methods, communication, knowledge management, salaries and other benefits). - Ad-hoc support to the Head of HR (UK) e.g. travel arrangements and international projects.
