Overview

A fantastic opportunity to join this high profile project team supporting their General Counsel. To manage and ensure the effective operation of the General Counsel and Company Secretary’s office to support the achievement of corporate objectives, through effective diary management, stakeholder management, correspondence handling and undertaking specific projects as required. To provide efficient and effective executive and administrative support services to all members of the General Counsel and Company Secretary’s team. 2. Principal Accountabilities Manage and maintain an effective administration and secretarial support service to the General Counsel and Company Secretary, which includes providing administrative support to members of the Legal, Secretariat and Agreements teams. Maintain effective working relationships with internal and external stakeholders. Draft correspondence, e.g. letters, memos, e-mails. Arrange meetings of the Main Board, the Investment Committee, the Audit and Assurance Committee, the Remuneration and Nominations Committee, the Executive Group and the Conflicts Sub-Committee. Arrange departmental, inter-departmental and external meetings. Manage diaries for the team. Prioritise, handle and sort incoming mail including post, e-mails, faxes, etc. and, where necessary, respond on behalf of the team. As and when requested by members of the Legal team or the Commercial team, provide extracts of the minutes of any meetings. Support the Secretariat with company filings. To be responsible for producing all shopping carts for the General Counsel and Company Secretary’s team and provision of appropriate PO numbers. Be responsible for weekly absence return, hospitality returns and annual leave records for the General Counsel and Company Secretary’s team. Check and verify all staff expense claims and contractor timesheets before seeking authorisation from the relevant Line Manager. Utilise technology to reduce the need for paper storage and adapt environmentally friendly "green" office practices Promote equality in the workplace and adopt appropriate behaviour when interacting with colleagues. Take necessary care to properly protect the confidentiality, integrity and availability of corporate information from unauthorised disclosure, modification or destruction. 3. Main Challenges of the Job Effective decision making to make best use of the General Counsel and Company Secretary’s time and availability when handling a high level of competing demands. Dealing with very senior and high-level executives and non-executive directors internally and high-level executives from external organisations. Dealing with members of staff who do not understand the pressures of the role. Handling a degree of change and working in a busy office requires a measure of flexibility for tasks undertaken and on occasion working extra hours. Person Specification Must have PA experience at senior level. Extensive experience in minute taking in a variety of environments Good understanding of document management systems. Good general educational background. Understanding of SAP. Excellent communication skills, including written English skills, e.g. grammar, punctuation. Good interpersonal skills - to be able to work effectively and productively with management. Ability to act with integrity and maintain confidentiality at all times. Ability to remain calm at all times. Excellent organisational skills. Must be a team player. Flexible and can-do approach is vital. Able to operate with minimum supervision and display initiative in identifying problems and dealing with them in a professional manner. Please note that this role is initially a fixed-term contract until April 2021
