Overview

William Reed host a number of high-profile events across a range of different sectors. The Event Manager will work across a dynamic portfolio of events, some of which include: World Steak Challenge The Grocer Gold Awards The Convenience Awards Forecourt Trader Awards Baking Industry Awards Butcher’s Shop of the Year Awards You will also have responsibility for building up our social media platforms linked to our event portfolio such as MTJ Social and World Steak Challenge. Key Responsibilities Event Have a complete understanding of the budget including revenue targets and costs. Take an active role in ensuring costs are managed. Log and code all cost invoices and pass to Group Events Manager to approve Create/update a critical path for all events detailing key dates for the event as agreed with the client and ensure all elements are carried out on time Arrange and lead regular catch ups with internal stakeholders Manage the launch of the event, leading meetings to confirm structure, categories, venues etc, Work with the marketing team to ensure all marketing for an event, including initial design concepts, marketing plans, websites, meet agreed objectives and all critical timings Update and prepare entry and table sales platforms Ensure Event Sales Executives are correctly briefed and provide updates to the Group Events Manager to ensure targets are met Negotiate further on venue rates from admin research. Hold site visits and liaise with Group Events Manager to agree a venue. Check and initial venue contracts and pass to Group Events Manager to approve Manage event AV, including sting, keynote presentation and set design in consultation with the Group Events Manager and internal client Act as primary contact for all service providers Develop relationships with sponsors & associate sponsors as the key event delivery contact and ensure expectations are met as per contract Oversee and monitor entry generation, entry submissions and judging days, working with the event executive/administrators as needed and monitoring their output to agreed schedule Record judging results and oversee/send finalist and unsuccessful communication Manage guest lists including logging guest names. Liaise with client re VIP lists and oversee sending of invitations Research and present options for presenters/cabaret/voiceover/bands/live entertainment. Book, brief and coordinate on the day Research trophy options and present to client. Along with the Events Executive where appropriate, order, provide copy and confirm through to delivery Confirm design and printing of certificates, guest lists, brochures and banners Arrange and attend menu tastings with client and confirm final menu Write running order for event and send to suppliers and internal stakeholders Write script in accordance to agreed event structure with client. Ensure additional paragraphs are included and proofed to fit. Circulate to client for sign off Attend weekly meeting with Group Events manager, presenting revenue figures across events where responsible Carry out a risk assessment of each event and distribute Manage on site logistics including Venue AV Rehearsals Act as a primary contact for all suppliers Run briefings for sponsors and finalists Remain at event until close and ensure all guests leave in a responsible manner Coordinate regular event meetings with stakeholders and attend internal debriefs with client. Compile notes and circulate Secure event venue for following year Support Group Events Manager in additional duties as required Explore opportunities for innovation both internally and externally Social Media Run the MTJ and World Steak Challenge social media channels (Fb, Instagram, twitter) to raise awareness of MTJ and its associated events. Interact with UK butcher shops through liking / commenting / sharing content and build a close knit supportive community. Help butchers to raise their profile within the local community through ideas and initiatives such as National Butchers’ Week. Looking at our other events social media exploring opportunities within this space Candidate Profile Two years Events Management experience, preferably in a B2B environment Capable of handling a number and complexity of projects at one time Excellent attention to detail Passionate about events and making them happen An understanding of social media platform and digital marketing Ability to communicate with people of all levels in a friendly, positive and professional manner Good cost management and negotiation skills Precise time management and planning Show initiative in bringing forward new ideas and ability to shape and implement them
