Overview

The Business Our client is an established womens fashion company. The Job Reporting to three busy Company Directors, you will be their right-hand person acting as a reliable and trustworthy support to their demanding schedules. You will be responsible for the smooth day to day running of their diaries and offices, both personally and professionally. This role requires a PA to think on their feet, be flexible and positive in their approach, be proactive and to think ahead so that Directors’ responsibilities and schedules run as smoothly and efficiently as possible. CORE RESPONSIBILITIES Whilst not exhaustive your responsibilities will include: Provide a full complement of both personal and professional administrative support to Company Directors Ensure that all Directors are aware of their schedules daily Act as the gatekeeper between the Directors and the employees of the business Manage the Directors’ day to day schedules:- diary management, booking meetings, travel plans, creating itineraries, preparing meeting rooms, organising lunches for meetings etc. Assist the Founder and Creative Director for one to two full days per week, working with her on assisting with creative projects, ensuring filing is up to date and her office is in good order. Prepare documentation for the Directors in advance of meetings and identifying needs well in advance Working alongside Company Directors with ad-hoc work and projects i.e. store design/refurbishments/openings/buying trips etc Note take at meetings involving the Directors on an ad-hoc basis Arrange business travel and accommodation for UK and International trips for all employees Respond to emails on behalf of the Directors as and when required General admin support, compiling and preparing reports, presentations and correspondence Managing databases and filing systems Implementing and maintaining procedures/administrative systems Liaising with Company staff, its suppliers and clients via email, in person and via telephone Collating and filing expenses Conducting research on behalf of the Directors Organising the Directors’ personal commitments including travel, administration and/or childcare etc Who fits the bill? Display total confidentiality in all matters Possess excellent verbal & interpersonal skills with a good command of the English language Be a self-starter and proactive; highly organised and able to manage changing priorities in a busy environment Have an eye for detail, be accurate and have the ability to think and plan ahead Be both friendly, positive and patient in nature; remaining calm whilst working under pressure Possess a genuine interest in the creative arts, fashion and design Possess proven advanced Microsoft Office skills.
