Overview
Our client is a thriving company based in Stoneleigh Park. They are an established organisation with a professional working environment and specialise in promoting, supporting and inspiring professionals both nationally and regionally. Due to continued growth they are now looking to acquire the services of an experienced, highly organised and proactive Events Project Manager to join their team. You will hold Responsibility for managing the development and successful delivery of the company's annual Awards along with other key events, ensuring administration, deadlines and budgets are adhered to. Main responsibilities: Manage and coordinate all operations surrounding the Awards and other key events Ensure excellent customer service and quality is delivered at all times and across all projects/clients (these could be members, suppliers, sponsors, entrants, board of directors etc.) Provide leadership, motivation, direction and support to the wider team with regards to the Awards and managed events Develop a detailed understanding of members, their operations and environment UK wide to support entries and interest in the Awards Research venues, suppliers and contractors, and negotiate contracts, prices and hire Research opportunities for new clients and ideas for the Awards and other key events Produce detailed proposals for Awards and events e.g. timelines, venues, suppliers, legal obligations, staffing and budgets Plan the Awards and events from start to finish according to requirements, target audience and objectives Promote entries and the event via email and telephone, canvassing past entrants, attendees and members To develop and maintain an effective filing system on the company drive Recording entry packs and downloading of images, send confirmation emails and chase outstanding information to ensure entry requirements are met Manage and maintain excel spreadsheets Source required information from Awards sponsors and charities Co-ordinate the sending of required information for production company and design and print agencies adhering to strict deadlines Assist in proofing of marketing materials and printed Awards specific materials Collate and sendi winner and non-winner letters Chase outstanding winner's information including updated descriptions and images Collate additional plaque requests and ensure members are charged correctly Collate feedback requests from members and disseminate to appropriate adjudicators Send Awards tickets to attendees, sponsors and VIP's Live emailing to winners on the day of the event Be responsible for all project budgets from start to finish from preparing budgets to ensuring adherence Working with the head of the Awards Adjudication panel ensure all aspects of entries and judging run smoothly in a timely manner, raising any concerns with the Operations Manager where necessary Support Media Sales and the Sponsorship Officer with the securement of sponsors, ensuring you always deliver on contractual obligations and maintain sponsor satisfaction through individual visits and sponsors surveys Maintain and build on the event management and ticket booking system Maintain and develop the Awards website to ensure it is user friendly, up to date and always holds all relevant information Travelling to onsite inspections and meetings Ensure each project/event is completed smoothly and forward plan to resolve any problems that might occur Source and negotiate with vendors, suppliers and third parties to include design and print in agreement with the Marketing & Communications team, ensuring contracts are in place where required Ensure insurance, legal and health and safety obligations are followed and maintained Working with the Operations Manager manage VIP's for the Awards Liaise with sales and marketing team to publicise and promote the event, using flyers, canvassing past entrants and attendees, and social media as examples of ways to spark attention Develop and maintain the list of media outlets to ensure publicity for the Awards Organise facilities for car parking, traffic control, security, first aid, hospitality and the media Handle client queries and troubleshoot on the day of the event Brief and supervise all staff e.g. event coordinators, hosts, production team, caterers etc. Oversee the breakdown of the event and clear the venue efficiently Analyse the project/event's success, including post-event evaluation and prepare reports Provide suggestions, based on project/event evaluation, to enhance the project/event's success Key Skills & Experience: Degree or relevant professional qualification (BSc/BA in PR, marketing, hospitality management, event management or related field preferred), and/or substantial work experience at the suitable level Demonstrable experience of Awards specific experience. Experience of working in events at a local and national level. Experience of dealing with the media and presenting well to a variety of audiences A team player with leadership skills able to motivate those around you.
