Overview

A fantastic opportunity has become available for a well organised and outgoing Event Administrator to work on a full-time basis (40 hours per week) for a Medical Members Organisation in an office near Oxford Circus. We are looking for a very outgoing individual who can multitask, think logically and communicate effectively in all areas of the role. You will be one of the key faces of the organisation in maintaining positive relationships with our membership. You will also be articulate and confident on the phone. As this is a varied role, you will need the maturity to handle responsibilities of different departments and prioritise your workload. This role also requires you to be skilled in Microsoft Word and Excel, and knowledge of website management is desirable. This role would suit an extremely organised, detail oriented, outgoing, enthusiastic and professional candidate who is looking for a career growth. EVENT MANAGEMENT Managing some events including gala dinners, summer parties, Christmas parties, symposia, tutorials, mandatory training course Venue finding Ensuring all events have a secured date and venue, so they can be confirmed in our event calendar. Liaising with suppliers, speakers and trainers Overseeing the budget for some events Creating initial emails and reminders for events in IDF Weekly, and advertising them on social media Opening the event for bookings on our website Managing catering menus Managing a seating plan - if needed Taking payments for events, reviewing contracts and creating invoices Printing name badges and preparing registration lists along with any marketing collateral, banners we may need Managing the event on the day - registration, AV, speakers Creating feedback forms, uploading presentations, sending out certificates of attendance (if applicable) Post event follow up - ensuring all event payments have been made Reconciliation of the budget CORPORATE MEMBERSHIP Managing the process of onboarding a potential company who wishes to join as a Corporate Member, from initial application to the end Ensuring all payments for membership subscriptions are submitted on a monthly basis DIGITAL MARKETING Managing Social Media channels i.e. Twitter, LinkedIn Updating the website Creating email marketing campaigns in Mailchimp OTHER RESPONSIBILITIES Attending Committee meetings and taking minutes Ensuring all events are listed in the info and Cozi calendars Ordering stationery Ordering and collecting catering for meetings Distributing all incoming post Cashing in cheques at the bank and sending a weekly spreadsheet to finance. Ensuring all payments are marked on the backend and receipts are issued on request. Office management - ensuring meeting rooms are ready to receive guests and items are replenished DESIRABLE Knowledge of InDesign (or willingness to learn)
