We're doing things differently. If this sounds like you, let's talk. OVERVIEW: Support the IT department to ensure the efficient running of day-to-day operations. This will include, but not be limited to, general administration tasks such as maintaining the departmental calendar, ensuring task lists for the different teams are kept up-to-date, coordinate and track supplier activity, tracking team movements, raising of IT purchase requisitions (PRs), arranging various meetings and workshops including distributing agendas/minutes. The jobholder will also be expected to assist on the preparation of presentations/reports. Keeping departmental documents up-to-date. RESPONSIBILITIES: * Support the Head of IT and IT department to ensure efficient day-to-day operations within the department, with the business and external suppliers. * Co-ordinate and support various IT day-to-day activities. * Maintain the departmental calendar and ensure that the people are informed in a timely manner of any upcoming deliverables. * Maintain various departmental/project task lists and ensure follow-up actions are completed in a timely manner. * Coordinate departmental meetings, meetings and workshops with the wider organisation and with suppliers. * Maintain, update and provide IT documents, filing an accurate audit trail to ensuring adequate details are kept and filed correctly so that any future recollection of a decision is fully captured and easily retrievable. * To prepare PRs and ensure they are issued in a timely manner and receipted as appropriate. * To receive enquires from the wider organisation and external suppliers and channel to appropriate team members. * Support Head of IT and wider team with diary management, travel & expenses as necessary. * Work on any ad hoc related projects or tasks as provided by Head of IT. * Work collaboratively with the various IT teams in order that they receive a fast, accurate and high-quality service. Requirements DESIRED EXPERIENCE: * Excellent IT skills: Microsoft Word, Excel and Power-point and be confident using databases and IT systems. * Previous experience of multi-tasking and working towards tight deadlines. * Self-motivated and be able to work independently but also as part of a team. * Excellent interpersonal and organisational skills and team player. * Excellent command of the English language in both, written and spoken (German/Portuguese language advantageous). * Project management experience will be beneficial.
