Job Description

Job Purpose: The PA to the Senior Leadership Team is responsible for the administrative duties, communication, and diary management for the Senior Leadership Team (consisting of 3 Deputy Heads). The role is primarily to assist them in being time efficient and to provide them with strong administrative and clerical support, enabling them in their roles to manage high-level day to day priorities and tasks as effectively as possible. Additionally the role has line management responsibility to the admin team within the support staff function and the incumbent will ensure the smooth running and efficient operation of the growing admin function within Dunottar School. Key Responsibilities: Be the first point of contact for parents, staff and pupils on behalf of the SLT, providing polished and professional communication and support for a variety of tasks * Manage and write correspondence for the SLT * Assist in managing projects undertaken by the SLT, independently, with accuracy and to a high standard * Provide effective and time efficient diary management for the SLT * Provide all necessary briefing papers, documents, reports and presentations and efficiently manage an effective 'bring forward' system; pre-empting requirements * Pick up and flag actions assigned to the SLT; proactively and thinking ahead * Organise and attend a small number of meetings (out of school hours) and produce and distribute informative minutes on a timely basis * Ensure room bookings and catering arrangements are made for meetings as required * Assisting with Results Analysis Meetings, Learning Reviews and producing reports and presentations * Support the administration and hands on support of School events as requested * Arrange and book travel and accommodation, producing detailed travel packs for conferences when necessary * Oversee the CPD Programme for staff including the CPD budget and the distribution and collation of Training Satisfaction surveys. * Oversee and organise the sanctions process * Help to organise and be present at after school events run by members of the SLT * Assisting with the publication of press articles for the School website, newsletters and Facebook * Assisting with technical tasks and activities e.g. preparation of PowerPoint presentations, liaising with IT Supportt * Organising and facilitating Education Committee meetings with governors * Some admin support to the Assistant Head Admin Team Leader * Line management responsibility to the admin team within the support staff function * Project manage the smooth running and efficient operation of the growing admin function within Dunottar School * Assist admin team with work load priorities and * Lead on continuous improvement projects within the admin function Performing other duties as may, from time-to-time, be assigned, including, but not limited to ad hoc administrative duties within the School Office It is the nature of the work of Dunottar School that tasks and responsibilities are, in many circumstances, unpredictable and varied. All staff are therefore expected to work in a flexible way when the occasion arises and to undertake tasks which are not specifically covered in the job description.
