Establishing the IMA will fulfil a central and crucial commitment that the Government has made in those international agreements. Further information can be found at Purpose of the post The Manager of the Chief Executive's Office manages the diaries of the CEO and other members of the Executive Team and will be the first point of contact for any requests for meetings/diary time. The post holder will be responsible for optimising the Executive Team's time by planning, managing and co-ordinating their schedules; organising papers and allocating time to priorities; and making sure they are in the right place at the right time, with the right information and preparation. They will commission briefing where necessary and oversee the delivery of high standards in all correspondence issued by the CEO's office. This is a high-profile role with senior stakeholders and provides an excellent opportunity to build experience and a strong network across government departments, regulators and public bodies that deal with Citizens' rights. The post reports directly to the Chief Executive. Responsibilities: * Management of the inboxes and diaries for the Chief Executive and Executive Team members, ensuring they are on top of all key issues and have all the briefing for key meetings well in advance; * accompanying seniors to meetings and visits and follow up on actions; * providing secretariat support for key meetings chaired by the Chief Executive; * arranging travel and accommodation when needed, ensuring value for money and arrangements are in line with travel policies; * making room, teleconferencing bookings and other necessary arrangements for meetings; * drafting and managing correspondence on behalf of Executive Team members and; * managing the electronic filing of records for the Executive Team as appropriate. Essential Skills * Excellent interpersonal and influencing skills to engage with key stakeholders and senior leaders; * exceptional drafting skills, to ensure the delivery of high quality correspondence and minutes; * strong planning and organisational skills, with a focus on detail and an ability to deliver quickly and effectively to tight deadlines; * confidence in decision-making, exercising sound judgement, and the ability to challenge others in a constructive manner appropriate to the situation; * a proven drive for continuous improvement of ways of working and; * strong IT skills: good working knowledge of Outlook; familiar with Word, Excel, PowerPoint and OneNote.
