Behaviours: Knowledge of relevant procedures Level of customer Service Team Player Health and safety awareness and knowledge Communication Job Description The role reports to the AP Supervisor, Waste PSCW and is part of the Waste PSCW finance team. The Entry Level Accounts Payable Clerk will carry out a number of different administration tasks such as filing, printing, managing the shared mailbox, sorting all incoming invoices into electronic folders ready for processing, emailing suppliers (i.e. rejecting invoices), completing VAT return spreadsheets and any other administrative task required within the team. They will also 'first process' incoming invoices and distribute any that are in query to the rest of the Accounts payable team. Responsible for delivering a high level of service in a professional manner, ensuring Mitie policies process and procedures are followed at all times. This is a great entry level role into accounts payable. * Maintaining shared mailbox - allocating emails to individuals on team. * Escalating on stop/court email notices to AP Team leader * Sorting invoices from mailbox and saving electronically * Rejecting invoices without required information (i.e. purchase order numbers) * Filing posted invoices into 'to be processed' trays * Distributing statements, credit notes and any other relevant document to AP team * Filing processed invoices * VAT returns - recording unprocessed invoices on a spreadsheet * 1st line processing of invoices * Passing query invoices to relevant member of the team * Undertake additional duties in line with capabilities Qualifications * Good communication and interpersonal skills with the ability to build relationships with wide range of stakeholders * Capable of working on own initiative and self-motivating with good attention to details and levels of accuracy * Ability to align behaviour with the needs, priorities and goals of the organisation * Ability to maintain accurate and timely records while working to deadlines as appropriate * Flexible approach to daily tasks and adhoc duties * Good organisation skills Additional Information Health and Safety responsibilities * Follow Group and company policies and procedures at all times; * Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment; * Use all work equipment and personal PPE properly and in accordance with training received; * Report any issues or training needs to your Line manager and /or via your divisional incident reporting system; Information Security * Ensure compliance with Mitie's information security procedures in all activities; * Proactively identify and report security risks to your manager; * Report actual and suspected security incidents; Note This job description Is intended to give the post holder an appreciation of the role envisaged for this position and the range of duties undertaken.
