We run our business by these values and they are reflected in all of our roles but particularly newly created roles like our Office Manager Your purpose (in a nutshell) Reporting to the Hub General Manager, with a dotted line to the HR Business Partner, this role will be fully accountable for the Hub administration, reporting and analysis, and to be the front-line ambassador for all administrative and financial enquiries. You will proactively seek ways to support the Hub GM and the Hub Senior Management Team with identifying cost opportunities including labour costs, both PAYE and agency spend, be accountable for the Hub Facilities Budget and costs, and ensuring all reporting and business administration governance is complete in a timely and thorough manner This role is primarily based at Hermes Rugby Hub (CV23 0XE) however the Hub Office Manager will oversee and be responsible for Nuneaton Hub (CV10 7SA) and our National Returns Centre (CV21 1HL) You will be accountable for: \t * The management, guidance, direction and output of the HR Co-ordinator and Administrators including carrying out regular individual 121's, performance reviews and team meetings with your team. \t * Ensuring all HR, Administrative and Financial tasks are completed for the Hub in line with company practices and guidelines. \t * Supporting the Hub GM with diary management and ensuring that the relevant information is prepared and available for all meetings and forums. \t * The management of daily, weekly and periodical analysis for the Hub GM and Assistant Hub GM as well as the reporting of all costs within the Hub ensuring any associated trends, risks and poor practices are highlighted and potential solutions offered. \t * Working with the Hub and Assistant Hub GM to manage the Hub budget and where possible achieve financial savings by anticipating requirements, submitting appropriate financial information, scheduling expenditures, monitoring costs and analysing variances. \t * Working with the Hub and Assistant Hub GM to manage and control the payroll budget including developing and delivering reports from KPI data and providing value adding solutions where required. \t * The efficient use and operation of Kronos in the Hubs. \t * Ensuring all customers, visitors, stakeholders and Hermes colleagues receive efficient, professional, friendly and informative support at the Gatehouse, in the Yard and Hub, and on the telephone. \t * Supporting the HR Co-ordinator with Induction Training across the Hub including operational training and holding the Operations Team accountable for undertaking all people processes in line with company standards including dealing with people issues. \t * Managing the Agencies on behalf of the Operations Team including the preparation of accurate labour supply forecasts and the use of only good quality candidates. \t * Creating and maintaining standards and promoting activities that enhance operational procedures for employee well-being. \t * Overseeing the hygiene and cleanliness of public areas, offices and meeting rooms to ensure they are at the expected standards and liaising with Facilities when these are not met. \t * Ensuring the H&S and Quality audits are completed including risk assessments and safe systems of work in the Hub as well as maintaining a database of same. \t * Promoting and driving consistency in administrative tasks to ensure the delivery of excellent Hub standards. \t * Lead by example in creating a high-performance, people centered culture Benefits: \t * Bonus \t * 26 Days Holiday entitlement + Bank Holidays \t * Opt in benefits "To all recruitment agencies: Hermes does not accept agency resumes.
