The opportunity Be a part of our group services team who provide support to all businesses across our five global hubs, based in our corporate head office in London. The opportunities coordinator (OC) is responsible for retrieving, assessing, communicating and tracking opportunities coming into the business via registered portals and bid inboxes (bid team, regional and frameworks) to agreed distribution groups. These opportunities are in the form of new contract notifications direct from clients and OJEUs. This OC plays an important role in the bid or no bid internal governance process. They will initiate the process that the business has expressed an interest in an opportunity and follow the process of issuing forms for completion, filing completed forms and logging sign-off. This individual will be proactive, good at working independently whilst strictly following processes, and has the ability to multi-task and prioritise urgent tasks. Your responsibilities will include: * Monitoring of tenders electronic daily (TED) to identify relevant opportunities and notices, then forwarding these to specific business stakeholders outlined in agreed distribution lists. * Monitoring all the registered portals daily to identify relevant opportunities and notices and then forward these onto agreed distribution lists. * Monitoring daily the bid-relevant inboxes to identify relevant opportunities and notices and forward these onto agreed distribution lists. * Maintaining the opportunity distribution matrix, including regular audits. * Initiating the bid or no bid process when stakeholders express an interest in an opportunity. * Pursuing bid or no bid decisions in a timely, relevant manner. * Tracking and logging all issued opportunities and subsequent actions until an opportunity has an approved or rejected to bid. * Communicating bid or no bid progress, issues and escalate associated risk to line manager and relevant head of bids. * Managing the timely completion of bid or no bid process. * Identifying incorrect and incomplete bid or no bid forms and work with business stakeholders to resolve issues immediately. * Updating the head of bids of all imminent opportunities likely to be bid which may require resource. * Supporting other members of the opportunities team in their day-to-day roles, including on occasion covering such responsibilities.
