Job Description

TerraCycle is looking for a bright, friendly, and extremely organized Personal Assistant to support our General Manager and be at the heart of TerraCycle's Organisation. You will be mainly responsible to provide support to our General Manager and some of our senior team managers: organising and coordinating schedules, keeping notes and scheduling meetings, coordinating and briefing events, assisting with travel trips. Supporting with the day-to-day running of the General Manager with administrative and secretarial work. There is never a dull moment at TerraCycle so you'll be kept on your toes with a variety of tasks to keep things interesting. JOB RESPONSIBILITIES * Managing the GM diary, organising meetings and appointments. * Booking and arranging for travel, transport and accommodations for the GM. * Supporting some of our senior managers with their schedule, bookings and expenses. * Dealing with correspondence and filter queries to the GM. * Coordinating events and briefing the GM accordingly. * Reminding the GM and some of our senior managers of important tasks and deadlines. * Typing, compiling & preparing minutes, presentations & correspondence. * Compiling expenses on a weekly basis for senior manager and our GM. * Assisting in ad hoc administration tasks. * Meeting & greeting GM's visitors as well as other department's clients. * Preparing client meeting with coffees, teas and beverages. * Main point of contact for our receptionist, in charge of liaising with reception. QUALIFICATIONS * Fluent French & English speaking * Previous PA experience required - at least 2 years in a fast-paced business. * Being passionate about the role of a PA by developing your skills in order to excel. * Smart, vibrant, enthusiastic and personable with excellent communication skills. * Amazing attention to detail - you're brilliant at thinking two steps ahead but also like to double-check your work! * Excellent organizational skills but unflappable if things don't quite go to plan. * Ability to work under own initiative, inquisitive and proactive.
