Overview
Our client is a growingfirst-class private gynaecology practice operating from two hospitals in London. With eight Consultant Gynaecologists, the practice is busy and dynamic and sees in excess of 500 patients each month. The secretarial team is a 6-person strong team who together support all the doctors in the practice and are the first line of contact for patient enquiries. The Practice Manager oversees the entire administration team. The role will sit within the administration team and will report to a supervisor. In addition to key responsibilities, the roles will also support other staff where required. The required hours for the secretaries are 35 hours per week covering the office 8 am-6 pm Monday to Friday (8 am-4 pm, 9 am-5 pm or 10 am-6 pm as required) and some Saturdays. Further details regarding hours can be discussed and negotiated at interview. Key Responsibilities: Medical secretarial duties - clinic management : Dealing with telephone and email enquiries from patients, other hospitals and practices Ensure the clinic is prepared, computer logged on, tidy etc. Ensure patients are comfortable during their wait and keep them updated with any clinic delays. Management of patient exit from the practice to include: o Raising invoices, taking payments (card/cash) and creating receipts o Booking follow up appointments and/or scans etc o Collecting patient feedback if appropriate upon exit from the practice Other medical secretarial duties including: Creating clinic/result letters from pre-typed documents returned by the dictation service and creating insurance invoices Booking procedures for the operating theatre, including booking Adhoc theatre time and anaesthetic cover Working with Consultants to ensure that requested test results are received and forwarded to patients in a timely manner. Ensuring that Consultants are aware of any correspondence (post or Email) that needs their attention Answering the main telephone line and dealing with calls from new patients, booking appointments and taking payments. Manage the Practice email inbox, taking specific responsibility for the following enquiries: booking appointments, providing general information and forwarding emails to a relevant team member as necessary. Dealing with the incoming post, sorting and sharing with relevant team members. Other administrative tasks as required from time to time including but not limited to: Ordering of stationery and medical supplies and inventory management Management of Self Tests Follow up of shortfalls from insurance companies/unpaid invoices. Required Experience It is essential that Candidates have held a similar role previously PC Experience (MS Office Suite) essential Excellent telephone manner is essential Practice Manager (DGL) software experience is desired but not essential Required Qualities Sympathetic and caring: patients can sometimes be anxious or worried, therefore a caring and sympathetic attitude is most important Discreet approach: being a gynaecology practice the nature of our work is confidential and often sensitive. When speaking with patients and dealing with their data a discreet approach is required. Close attention to detail Candidates must be willing and able to work as part of a team and help out other members of the team when necessary. Punctual, reliable and efficient
