| FACILITIES CO-ORDINATOR | | NOTTINGHAM | | £20,000 - £26,000 PER ANNUM D.O.E | | Monday - Friday, 8.30AM - 5.30PM | Our client is seeking an experienced Facilities Coordinator due to continued success and expansion of the company. You will manage the pre-planned and reactive maintenance on buildings throughout Nottingham, Derby and Leicester primarily, whilst also covering some wider areas. You will be part of the facilities department which is directly responsible for handling incoming maintenance requests, cleaning contractors and building compliance services. You will be working in a small team and ensure all properties within the company's portfolio are fully and professional maintained to a good standard, by means of works planner and job scheduling. Responsibilities: Liaising with heads of departments and staff to identify their facilities related requirements and propose and manage cost-effective solutions Providing an effective response to customer queries and complaints Monitoring of website ticketing system, gathering required details and prioritising tasks for the workforce Provide support to the work of the department in service monitoring and supplier / contractor management Provide administrative support to enable the Facilities department to function effectively To make required purchases for upcoming works, scheduling facilities team works and monitoring progress Organising new client move in’s and client move outs along with works required to prepare and works required upon vacation Participate in Facilities rota, acting as the first point of call for Facilities queries and provide back-up to facilities staff to ensure projects run smoothly from start to finish Manage the issuing and cancellation of security fobs/keys to staff and contractors Carry out weekly BOH and FOH walk rounds on a rota, ensuring the building fabric is in good order, noting any defects and raising with line manager Monitor the active jobs logged on the website ticketing system and prioritise scheduled with the in-house work force and external contractors Operate and maintain an effective filing for the department Record and monitor all costs and expenses for all Facilities budgets Process invoices and produce reports for all the budgets and liaising closely with the Finance Department and Operations Department. Skills/Attributes/Experience: Experience of providing a facilities or maintenance service in a busy organisation Relevant experience of working in a comparable administrative office-based role Experience of working with contractors and suppliers and monitoring service standards Understanding of compliance requirements and working with service level agreements Proven experience of delivering excellent customer care and service Strong communication skills and be able to communicate to all levels Strong command of written and spoken English Attention to detail, strong computer and numeracy skills BENEFITS Company Pension Scheme Company Phone Please only apply for this position if you can evidence, on your CV, the essential elements of the post.
