Job Profile: Team Administrator Location: Gloucester £ 10.14 per hour FTC: Until 17th May 2020 About the Job: My client, an established and sought-after organisation covering the whole of Gloucestershire, are looking to fill a temporary vacancy within their busy business support team. We are seeking an experienced, adaptable and resilient administrator. The key responsibilities of the role will include accurate and timely entering of sensitive data, liaising with professionals, members of the public and external agencies via phone/email. A significant part if this role will include minute-taking of multi-agency strategy meetings about sensitive, and sometimes distressing material. The content, pace and short timescales involved with these meetings can be challenging. You should have previous experience or working in an administrative role, ideally with excellent minute taking skills and the ability to organize your work effectively and deal with rapidly changing priorities. Resilience is an important quality . This is what the administrator will need to do To undertake administrative duties to support the business needs of the Team and the wider service area. Taking minutes of high-risk meetings To provide support with financial matters including electronic procurement packages, petty cash and accurate recording of purchases for budget monitoring purposes To facilitate meetings, seminars and workshops. Including booking rooms/venues, sending invites, preparing agendas and support for meetings as required Creation and maintenance of filing and recording systems, including statistics and monitoring as appropriate To respond and deal with queries via telephone, email and in-person providing a high standard of customer care To undertake research as required To ensure confidentiality is maintained at all times within your service area Administrator Experience and Skills Required Experience working in a team environment Experience working in an office environment Previous minute taking experience Resilience Customer focussed Good written and verbal communication Ability to manage own workload and work on own initiative and able to meet the demands of working in a busy office environment Good organisational skills Experience in Microsoft Office Packages.
