Overview

Purpose of the Role To support the legal team by undertaking various administrative tasks across a range of activities Key Responsibilities o Provide assistance and admin support to the legal team’s work deliverables. o Manage the legal inbox daily, create new matters, send emails to relevant instructing person and update the legal database accordingly. o Ensure that the Legal team’s time is effectively managed understanding daily and weekly priorities for all. o Proactively manage the meeting room diary to ensure that clashes don’t occur and appropriate meeting rooms are allocated for client meetings. o Assist the Legal team with planning and arrangements for board legal reports. o Help with the preparation and amendment of materials for monthly board reporting. o Manage POs, invoices and expenses for both the legal team and external parties, ensuring all invoices and management of external contractors including law firms dealt with efficiently and in good time. o Assist in preparation of powerpoint slides for internal and external engagements. o Proactively maintain the filing system ensuring that electronic and hard copies are stored for all executed agreements and contracts. o Using Serengeti Tracker or other such matter allocation/document management tool to produce analysis and charts for reporting. o Summarise legal news items to provide bite size updates. o Assist Data Protection Executive in administrative duties from time to time. o General administrative duties. Knowledge, skills and experience required o Performance Measures: o Effective time management for self and Legal team. o Professional outlook and develops professional relationships across the business. o Takes a proactive role in developing office skills. o Ensures full administrative support given to the Legal team and others on an ad hoc basis. o Ensures the smooth running of the Legal team. o Knowledge, skills and experience required: o Excellent and highly advanced knowledge of MS Office applications, specifically Word, Outlook, Powerpoint and Excel. o Experience of legal case management tools such as Serengeti Tracker desirable. o Effective time management. o High level of attention to detail. o Efficient and highly organised. o Ability to work as a team player. o Ability to Multi-task. o Excellent communication skills both written and spoken. o Maintains confidentiality and discretion at all times. o Strong administrative experience, ideally within a legal team. o Some type of legal qualification desirable. o Willingness to learn and develop within the legal team. o Positive can do attitude with a good sense of humour required
