FACILITIES MANAGEMENT ADMINISTRATOR TEMPORARY Rate: £9.25 Ph LOCATION - Maidstone, own transport advantageous due to location Netbox Recruitment Ltd, is looking for a competent Facilities Management Coordinator to start immediate for a 1-month temporary period. It will be your responsibility to manage the database of incoming works, receiving and reviewing 'works' via the online database, ascertaining their priority, effectively instructing engineers/ sub-contractors, ensuring priority jobs are dealt with in line with the contact SLAs and raising POs on the system for works completed. The facilities Management Administrator will also focus on compliance for all sites within their portfolio. Working in liaison with the area managers and team leaders you will follow the lifespan of works from job creation through to the returning of completed compliance documents. Duties and Responsibilities of the facilities Management Administrator You will be a strong administrator (Ideally with a background in Facilities Management/ FM), effective communicator and exceptional customer service skills. You will be receiving a range of works from faulty air conditioning units, or broken windows all the way through to faulty dishwashers and malfunctioning door locks. You will check which engineers are in the corresponding areas, ensuring the engineers' skillset matches the job, manage the engineers work schedule and ensure all administration is effectively completed on the system. Allocation of works via the internal systems, monitoring subcontractors and arranging ad-hoc specialist contractors in order to complete works in a timely fashion Responsible for the compliance of the designated premises ensuring that all compliance regulations and building standards are met and returned within the designated timeframes Ensure FM systems are updated with accurate data Act as a first point of contact for tradespeople and external contractors regarding works and services and ensure these meet expected performance levels. Personal Specification: You will be working in a friendly and supportive environment - but please be aware, this is a fast-paced role where you will be managing multiple tasks as once, so this role will suit a confident and organised individual, ideally with experience within Facilities Management. You must be willing to work as part of a team and capable of working independently. Clear communicator with excellent writing, data entry and capable of constructing and delivering clear information and instruction to staff and service users As the Facilities Management Administrator will be able to adapt and learn new skills. Able to manage challenging situations in a calm and professional manner.
