Overview

Our client is a global brand in a range of sectors, including rail, telecoms - and technology. With a global workforce in the 1000's and a reputation which is second to none, along with fantastic offices and an excellent working environment, they are now seeking a temporary Administrator for 3 months, for their Wiltshire offices. In general, this role is to provide admin responsibilities for the Bids & Tendering department, with a focus on supporting a specific team. Responsibilities; Documentation / filing Supporting departmental management in day to day activities Organise bid meetings, preparatory materials and where required record actions Coordinate preparation for LoA approval meetings and provision of required documentation, ensuring necessary quality achieved every time Organise bid documentation in support of bid managers, including archiving of material Bid support including organising translation services, shipping, dispatch of documentation Co-ordinate contract approvals ensuring appropriate authorisations are in place Supporting the production of PQQ’s as required Compile report submissions and liaise directly with contributors to ensure timely submission. Professionally expedite delegated actions from Director of Bids & Tendering. Manage the monthly production of Team Brief and guest speakers. Establish good working relationships with key PA support internally and externally. Organise periodic functional events. Ensure bid documentation version control in place and bids are using correct versions. Facilities management for the Bids & Tendering function, including organising IT Provide ad hoc support as and when necessary with all things admin Candidate Requirements Administration experience (minimum 3 years). Word, Excel & Powerpoint to intermediate level as a minimum, preferably advanced level. Good interpersonal skills - a team player. Ability to work with complete confidentiality. Highly organised and professional working style. Assertive and deadline driven. Available on a maximum of 1 weeks' notice Reside within Wiltshire Proactive and able to operate on own initiative with minimal supervision
