Overview
Our fantastic US law firm is looking for a hands on Secretarial Services Team Leader/Supervisor to join them on a permanent basis and to assume responsibility for management of the day-to-day operations and associated workflows within allocated legal departments to ensure that the fee earners are supported exceptionally well in a firm that actively strives to be the best in industry. This role will also be working as a PA for High end Partners in the Insurance/Reinsurance group. The main responsibilities include ensure appropriate supervision of Personal Assistants and Team Administrators, with a focus on service delivery and excellence, develop relationships and work with fee earners in order to ensure the successful management and administration of practice areas within the business group, manage the staffing resource available to ensure that most effective use of the team is made, ensure absence is managed effectively and monitor timekeeping, monitor PA and TA performance to ensure that competency levels are met and new skills acquired, be responsible for the performance management and quality of output of their direct team, escalating any issues to the Head of Human Resources as necessary, advance the levels of service provided through the PA and TA roles, acting as a "coach" to assist in the development of staff by helping employees look for opportunities to develop and succeed in their job, motivate, advise, give feedback, be supportive and provide strategic direction to PAs and TAs, conduct one-to-one meetings to seek feedback, set objectives and ensure service levels are being met, conduct annual performance appraisals for staff within direct area of responsibility, assist Head of Human Resources with annual salary review for PAs and Tas, manage diaries, ensuring they are up-to-date, and reminding lawyers of meetings, etc. on a daily basis, arrange meetings, book conference rooms, refreshments/catering, check room set-up prior to meetings and liaise with other attendees, both internal and external, arrange for travel bookings and related details, including travel expenses, arrange scanning, photocopying, printing, organising couriers, sending out of letters, etc., arrange for files to be opened and closed, supervise general filing requirements and record-keeping, use effective systems to ensure that both short and long-term tasks are completed within required timescales. Candidates must have prior experience within a legal environment working at a hands on Supervisory role.
