Overview

You will be responsible for ensuring the effective day to day administration ensuring all levels of vehicle compliance are met. · Running day to day operations – 80% Office 20% Workshop · Raising job cards for all works entering the workshop for all contracts, processing estimates, inspection reports, ordering parts, processing invoices · Following customer service schedule and liaising with customer to book vehicles in, monitoring customers jobs and keeping them informed at all times. · Uploading of service documentation onto the fleet system ensuring accuracy at all times. · Completion of labour lines and closing of job cards as per company procedures ensuring accuracy and detail at all times. · Carrying out invoicing for all 3rd party works · Ensuring the Fleet Management system is up to date at all times. · Coordinating and controlling the maintenance activity and servicing schedules for the workshop. · Dealing with all customer/contract queries either by phone or in person · Arranging 3rd party contractors/tyre works as directed by the workshop supervisor/senior technicians. · Updating and administering stock and equipment information The experience you will need; It is essential for you to use your excellent organisation skills to control and lead the daily operations, you must have the ability to multi-task, problem solve and use your judgement on how to prioritise the work. · You will have excellent interpersonal skills, be computer literate, with excellent planning, organisational and communications skills. · Hold high standards of IT and literacy skills with a good knowledge of Microsoft Word/ Outlook and Excel. If you have experience on in-house system Simpro would be an advantage otherwise training will be provided · Working under pressure Must be educated to GCSE level Maths and English or equivalent Ideally experience in a similar workshop, maintenance or parts business .
