PA to Chairman Fareham £20 - £25k An opportunity for an experienced PA to support the Chairman with all diary management, meeting preperation and travel arrangements, combined with more general admin and co ordination support tasks. Provide General administration for the Director, human resources administration and health and safety administration. Develop and maintain relationships with key internal and external customers and external suppliers. Liaise with the Director so as to understand all necessary aspects and needs for operational development Report to the Director timely and accurate reporting as requested by him/her, either on a regular or ad hoc basis Be personally responsible for own personal continuous professional development, ensuring that he/she remains fully skilled and trained and effective in the post. Administration Answer the telephone, screen and direct calls received by the Director according to agreed standards including timeliness and accuracy, ensuring calls records are maintained as necessary. Investigate any queries prior to passing to Director. Reading and understanding contracts. Analyzing data with simple mathematics and presenting information in Excel. Take and relay messages via the telephone or in person, ensuring a professional service is given to callers who contact the Directors. Arrange internal and external meetings including venues and manage the Directors’ diaries in accordance with their instructions. Greet persons visiting the Directors, ensuring that a warm and efficient welcome is given and that appropriate courtesy is provided to visitors. Provide general administrative and clerical support to the Directors by compiling agendas, ensuring the Director is prepared for meetings. Attending meetings to record notes and actions, following up individuals to ensure they are completed in a timely fashion and reporting back to the Director. Write letters and emails and deal with general correspondence on behalf of the Directors, in accordance with their instructions. Maintain records and undertake filing as necessary in accordance with Director’s instructions. Assist in the production, compilation and coordination of Director’s reporting including Board Reports as instructed. Arrange travel including overnight stays. Preparation of Expenses for submission to Accounts. Human Resources Take the lead on recruiting for one Department. Advertise and instruct consultants providing adequate information to fill roles required. Organize and attend interviews, providing feedback both internally and externally. Assist in the administration of Performance Reviews by attending, when requested, Appraisal review meetings to record notes. Maintain the company’s departmental staff training records, ensuring these are accurate and up to date Arrange new staff induction training/orientation programmes in conjunction with the Assistant Accounts Manager and individual’s Line Manager. Research and liaise with external training providers as necessary to facilitate staff development needs.
