Overview

Encircle Housing was established in 2018 and is a Community Benefit Society with charitable objectives. We are a rapidly growing business with over 100 properties across England, Wales and N. Ireland and are in the process of bringing some of our outsourced service in house. We provide high quality specialist supported housing specifically designed to meet the need of the individual, relating to learning disability, mental-ill health, acquired brain injury, physical or sensory disability, or a diagnosed long-term condition such as dementia. We believe that everyone has the right to feel safe and secure in their own home. We ensure tenants achieve this and more, by providing them with high quality housing with support provided by our partner care providers. We are recruiting for a Compliance Officer, who will be the first point of contact for our tenants, care providers, employees and contractors for all compliance fields for our properties and will handle inbound calls/Emails from Clients/tenants reporting property repairs or other issues at the property as well as liaising by phone and email with contractors to deliver results. The job entails a variety of duties including organising, programming and scheduling all compliance areas, which includes Gas, Electric, Asbestos, Fire risk assessments, legionella, servicing to specialist equipment and monitoring soft services. The role combines compliance / facilities management / property maintenance with a repairs background coupled with excellent levels of customer service experience. You will require attention to detail in order to ensure that Encircle meets its compliance obligations to its tenants and care providers. You will need to be able to handle an expanding portfolio of properties and tenants and be able to prioritise if there is an urgent issue arising within the tenant’s home. You will need to liaise with our property surveyors and housing team officers to gain information to provide a great customer service. You will develop good working practices by providing information, which can be used to improve and influence our company systems, workflow and Key Performance Indicator metrics. Key responsibilities include · Ensuring that our building compliance fields are scheduled, managed and programme within their expiry date and ensure that we meet our legal obligations. gas servicing, EICR, FRAs, legionella, lift services and asbestos reports · Taking repair and maintenance requests (emails or telephone), checking availability of resources (Internal engineers or contractors), and scheduling for the necessary work to be undertaken, organising competitive quotes and ensuring value for money where necessary. · Scheduling contractors and to arranging appointments with our customers prior to the renewal date. · Uploading O&M manuals and documentations onto our housing management systems and reviewing its compliance. · Raising repair requests and completing the works order as the job progresses; · Liaising with a variety of 3rd party contractors, and nurture business relationships; · Ensuring 100% compliance; · Following up any OOH call out jobs; · Scheduling non-compliance PPMs. (emergency lighting, PAT testing, water temp tests); · Ensuring that SLA targets and other agreed targets are met; · Reviewing working practices to ascertain success/devise an alternative if required; · Authorise and process invoices for all completed works; · Ensuring that all soft services are scheduled either with contractor or internal engineers.
