Overview

We are a nationwide specialist roofing contractor and we are seeking a Administrator / Secretary to join our team in Banbury. Key Responsibilities The responsibilities will involve and are not limited to: Transfer of data from paper formats into electronic format Direct Data entry of customer information Scanning of documents Accurate spreadsheet data entry Updating existing data Retrieving data from databases and various electronic sources Sorting and organization of paper documents following confirmation of accuracy Dealing with the photocopying and carriage distributions Manage the office filing system, drawings and paperwork Ensure that all correspondence is filed in as appropriate Typing of all correspondence when required Manage the telephone system, answering all incoming calls in a professional manner Ordering of stationery and consumables for the site including photocopier, toner and printers To provide a clerical and administrative service for Projects using a variety of software packages which will include letters, quotes and report typing, invoices and valuations. To liaise with main contractors and customers as required and ensure efficient communication between all parties. To assist directors To help plan and organise any entertaining or business activity when required. To support the business projects as and when needed. To provide all administration including property, fleet and Plant management. To assist colleagues with the ongoing Quality Management System to ensure ISO 9001:2015 is achieved and maintained. Ensure all health and safety paperwork is written to a good standard and issued before we get to site. Key Skills Data entry experience Higher level keyboard skills Excellent knowledge of MS Office Word Suite in particular MS Word and MS Excel Working knowledge peripheral devices (printers and scanners) An understanding of how databases work Good communication skills Great attention to detail Ability to work unsupervised Great customer relation skills Working under supervision Planning and organisational skills Be able to bring initiatives and service improvements Identify and resolve problems
