Overview

Purpose of the Role: We are looking for an Office Manager to support the Bristol Office and Bristol Leadership Team. As the Office Manager for one of KMMS’s main offices, you will be acting as the face of the business on reception for both visitors and our internal teams. This role includes supporting three Executive Leaders on diary management and administrative tasks. You will also be responsible for assisting the ordering office supplies and help coordinating office events. Key Responsibilities Ensure the office is maintained to an acceptable level and liaise with the cleaners when necessary. Managing office communications, supporting events and being a friendly face both internally and externally. Admin assistance for two Managing Partners and the Global Executive Creative Director including proactively managing diaries, completion of expense claims and credit card reconciliation, arranging all travel for them and booking meeting rooms both in Bristol and the London office. Back-up support for 'guestbooking’ and administrator on our self-service travel system. Deal with all guests and visitors in a timely and professional manner. Identify needs of the office, manage the placing of orders and distribute. Careful management and maintenance of office meeting rooms, ensuring rooms are prepared for visitors. Management of any incoming and out-going post ensuring it is sent and received in an appropriate manner. Remotely manage Edinburgh office [simple liaison with maintenance staff]. Knowledge & Skills Good organisational and coordination skills developed in an administrative/PA based role. Experience managing an office from administration to general upkeep. Excellent personal presentation with a focus on courteous and professional customer service Experience of using Microsoft Office and ability to adapt to various internal systems and processes Comfortable to multi-task with a can-do, proactive attitude, especially when working independently
