Job description: Job Title: WFM Implementation Support Officer Base Location: Hook, Hampshire In order to support Serco's strategic objective of ‘Executing Brilliantly', aligned with its ambition to be the ‘best managed business in its sectors', it has been identified that Workforce Management (WFM) is a critical enabling capability. This role is required to provide critical Implementation Support to the UK&E; WFM Implementation team and UK&E; WFM function. Key duties include; Provide management support directly to the Head of WFM Delivery, Delivery Team and Implementation Managers in ensuring supporting governance and assurance requirements are met. The ISO is a vital role that supports and drives implementation & delivery through: Ensuring the implementations are delivered through defined best practice standards Providing management support to day-to-day implementation and engagements activity with the Implementation teams and key stakeholders The management and production of key governance and implementation documents / deliverables at UKE. Divisional and project level. The management and production of regular reporting so that a regular cadence is met and all reporting requirements are met To proactively liaise with the Head of WFM Delivery & Implementation Managers to coordinate and manage day-to-day implementation/engagement activity About the role Manage the production of implementation documents and schedules Managing weekly and monthly reporting cycle Proactively monitor the detailed implementation deliverables to ensure that implementations are in line with the schedule requirements Managing the 'Guided Buying' process to ensure that costs are captured, controlled and reported Manage the process for maintenance of RAIDD logs & Change Logs Management of project administration activities, including: The proactive management and scheduling of meetings and telephone conferences Proactively ensuring meeting agendas are set and distributed with any supporting documentation, well in advance of the meeting Producing meeting minutes / notes and updating action logs Following-up on actions to ensure they are closed-out Producing and maintaining / managing implementation documentation / deliverables Managing the logistics of the team in terms of organising the movements, travel etc. Ensuring robust management of documentation in within Teams and SharePoint Organisation and management of project workshops as required Responsible for reporting, ensuring that it is complete and accurate, issued on a timely basis and creates good visibility of activity / progress, costs, risks, issues, decisions, etc Supporting the application of project management frameworks, tools, techniques, and processes Responsible for working within a defined governance framework and supporting the management of the stage gate process, deliverables and outcomes Managing the time capture process for the implementation team as an input into the monthly financial forecast review process About you Extensive use of Microsoft Office applications predominantly Outlook, Sharepoint and Project PMO experience / Experience of supporting Programmes Customer focussed, both within the WFM Team and across the UK&E; Division Comfortable with large amounts of data and operating within a complex environment. Ability to deliver high quality formal reports and presentations within tight timelines. Ability to communicate across a diverse community of stakeholders; good networking and influencing skills. Developed collaboration skills combining an open and inclusive approach with the ability to operate as a strong team player. Strong experience in process, tracking and reporting management on behalf of a multi-faceted internal delivery team Experience working in a matrix organisation providing services across disparate locations, capabilities and stakeholders We would like to see a proactive individual with excellent communication and leadership collaboration skills able to work at ease in a pan UK, international, multi-cultural environment and matrix organization.
