Overview
Purpose A senior operational leadership role that carries delegated authority and accountability for the day-to-day operational management and performance of the Club. The role is to be instrumental in ensuring quality and standards in keeping with the Club’s values and its Business Plan to ensure that the Club achieves its development goals, while building relationships with staff and Members alike and providing excellent service via effective role-modelling, leadership and capability. Characteristics and skills required You will have a caring attitude towards others, which is founded on respect, and an effective work style which is both proactive and responsive, participative and creative. An organised thinker with an eye for detail. You will need to be able to demonstrate a highly structured and organised approach to prioritising tasks, managing workload amid competing demands and have experience of managing staff. Key Responsibilities Leadership Act as an effective role model for all staff; Oversee the Events Manager’s calendar-planning processes in conjunction with the Events Manager; Responsible for ensuring efficient and effective day-to-day management of the Club to the standards expected by Members; Contribute to the strategic direction of the Club through implementing the agreed organisational strategies in conjunction with the Club Business and Strategic Plan. Line manage the Events Manager, office and other staff as required; Undertake effective quarterly supervision and annual appraisal to all staff that report directly to you; Identify training and support needs of the aforementioned staff, and arrange for these to be met via the supervision and appraisal system outlined above; Provide support to the main Committee and provide a monthly overview report to the Committee. Attend Committee meetings as and when necessary; Coordinate Events Manager and operational team to input effectively into the Club’s Business Plan Objectives; Undertake regular inspections of the Club building with the Chair of the House Subcommittee; Liaise with the Chairman of the House Subcommittee to undertaken repairs and improvements work as agreed by the Committee; Liaise with the Front of House Manager to provide staff rotas and to ensure future staffing requirements are satisfied; Coordinate Members’ database and update as necessary; Be responsible for receiving and placing orders for materials, supplies repairs and improvements. Care/Support Standards and Quality Be aware of the Club’s legal and statutory obligations and take responsibility for ensuring these requirements are monitored and achieved; Ensure compliance with expected standards by monitoring and auditing feedback from Members, both formally and informally; Administer and adhere to strict Health and Safety guidelines issued by the Club. Commerciality Monitor and ensure the effective use of finance and resources by Events Manager, office team and others as required; Take a strategic overview of the Club and ensure staff are aware of the expected standards and code of conduct. Relationships/Marketing Develop and maintain external network relationships with customers and other influential organisations as required, for example, suppliers, reciprocal clubs and others. Personally promote the Club at meetings and during visits, foster effective relationships. Maintain an awareness of developments in the Club and within the wider Cardiff community that may constitute opportunities or risks for the Club. Human Resources Management Work closely with colleagues and HR support to ensure the Club operates as an effective employer; Provide strong leadership to managers and staff in senior support roles, setting, encouraging and personally promoting the highest standards of care and performance; Ensure an induction programme is in place for all new staff, and recruit, interview and screen new appointments as required; Set objectives, appraise performance and agree training needs and solutions in line with Club policy; Carry out supervision in accordance with Club standards; Ensure that mandatory training targets are achieved without any disruption to service provision; Ensure adherence to employment law policies and procedures; Manage employment disputes, disciplinary and grievance issues in accordance with the policies and procedures, and refer appropriately to main committee or HR support whenever necessary; Act as mentor / coach to staff, taking responsibility to support the process of achieving identified development needs. Development Create accurate reports based on up-to-date information when required; Encourage and foster innovations in service delivery, maintain a 'can do’ attitude and respond wherever possible to member needs.
