Overview

I am working with a small Prime Central London Developer who also have an investment and design side to their business. They are a small, boutique company who work to give their clients a very bespoke service. They are currently looking for Office Coordinator to help with a range of duties including marketing, HR, finance and property administration. The duties will include: Maintain strong working relationships with the landlord and all service providers (IT, telecoms, etc.) to uphold the condition of the office and arrange for necessary procurement, maintenance, cleaning, supply of stationery, refreshments, etc. Receive visitors. Maintain office correspondence including receiving/sending post & electronic correspondence and handling as relevant (including scanning & filing). Book business travel for staff as necessary. Perform ad-hoc requirements. Maintain records of financial transactions for the company and all its client projects. Complete and submit the company VAT returns on Quickbooks (and liaise with accounting firm to ensure accuracy). Liaise with accounting firm to complete annual accounts. Prepare and issue all necessary invoices. Make payment for all incoming company and project-related invoices. Check bank account statements. Maintain a positive tax position by ensuring PAYE & VAT payments are promptly made through the HMRC portal. Co-ordinate the monthly payroll & pensions processes. Handle recruitment duties, including scheduling interviews, drafting offer letters/contracts and on-boarding requirements for new staff (e.g. equipment & legal documents). Log staff holidays. Maintain/update the website as necessary. Liaise with the PR agency, graphic designers and all production suppliers as required. Maintain/refresh supply of required marketing materials (business cards, giveaways, etc). Help organise events and oversee the guest list, invitations, etc. Maintain positive relationship with tenants. Liaise with the landlord & service providers to ensure property is in good condition/repairs are made promptly. Coordinate with local councils and utility providers to update ownership details and supply regular meter readings. Manage the check in/check out duties including pre-tenancy preparation (cleaning, furnishing procurement and/or delivery from storage, set up, etc.). Work closely with the Development Manager to issue all necessary documentation, including purchase orders, valuation certificates, cash requests to finance providers, etc. Manage logistics of stored item collection/delivery as necessary and coordinate with auction house for sale of unwanted items. The ideal candidate will have: Experience working in property Experience dealing with some accounts duties Proactive and personable The hours for this position and Monday to Friday 9AM-5:30PM and the salary is £25,000-£30,000 depending on experience.
