Overview

Office and Marketing Administrator needed to join an upmarket, multi-office nationwide estate agency branch in the Kennington area. This position will also pay for your ARLA qualification and membership This is an opportunity for an Office Coordinator or Administrator with a minimum of 1year of estate agency administration experience seeking the next step in their career with an upmarket nationwide estate agency brand. Hours: Monday to Friday: 8:45am - 6:30pm Full Salary with Guaranteed Monthly Bonuses: £24,000 - £30,000 - Based on Experience Basic Salary: £20,000 - £26,000 - Based on Experience Guaranteed Bonuses £4000 per annum - as £333 paid monthly with your base salary 60% based on performance. 40% based on monthly targets. Bonuses roll over to the following month once targets are achieved so are effectively guaranteed. Training - ARLA Membership Paid ARLA courses, exams, and membership In-house training academy Holidays 20 days annual leave per annum 8 statutory holidays All days off between Christmas and New Year Birthdays off as paid holiday Gym/ Exercise Activity Hour Allows staff to take exercise at any time of day for 30-40 minutes either off-site or using the facilities in the company office Job Responsibilities & Duties General Work Day Schedule: 9am - 10:30am - Admin for letting consultants 10:30am - 12pm - Admin for office 12pm - 4:30pm - Marketing 4:30pm - 6:30pm - General follow-ups Marketing Duties Update Social Media: Facebook (2 times a day), Twitter (3 times a day) Instagram (daily) Include content such as: Company office blog Property news Local news Interesting events Properties Photos Comment on the content and get involved Organise marketing leaflet distribution for the following: Just let properties - specific targeting after each property is let (rented) Corporate lets (focus on Riverside and SE1) Seasonal leaflets via proactive Property management flyers Organise by selecting an area and calling the distribution company to-do a house count. Tracking properties via board checks and Rightmove plus Create a map of available properties in certain areas for consultants to do board checks and obtain the residential address of available properties Sending multi-agency letters to the property address Properties worth £500pw do land registrations and send to owners' homes as per the land registration details Create a folder with a copy of each letter sent out (weeks 1-52) Emailing achieved database: Properties let 10months ago by another agent Market update letter Old valuation chase Identify and build up the database (starting in Kennington and working out) Database of concierges and blocks (address, name, contact number, residence society) Database of potential clients and applicants (Embassy’s, Institutions, Companies) Database of relocation agents Office Administration Preparing valuations (Valuation packs / land registrations/ EPC / PIFs )(email address/time/date) Sending out Val letters - must be sent out the same day Ordering EPCs, Photos and Floorplans (R3) Money Laundering Documents (following up after instruction) Uploading photos Property write-ups (re-doing property write-ups if the property is not getting enough traction) Window Cards Keys / Key Book Updating figures, offers for consultants, re-lets and new instructions. Preparing property Boards Update office manual Stationary / printing paper / letter headed paper / envelopes Admin (supporting consultants) Collecting all paperwork and sending files to the management Move-in Checklist (HDR, Acceptance form, right to rent (verifying ID), IDU checks etc) Key cutting Property lists on consultants' tables (weekly) Dividing enquiries between consultants Preparing statistics for leads and deals agreed Asking for reviews - tenants and landlords after every move in.
