Overview
A national public body which promotes the welfare of children and families involved in family court is in need of a temporary Customer Service & Facilities Support Administrator to start ASAP until March 2020 initially with the possibility of extension and permanency. This role will be based in Bloomsbury Street, London. Role: Business Services Officer Rate: £11.75 per hour Location: Bloomsbury Street, London ( Nearest Station is Tottenham Court Road) Duration: Asap to March 2020 initially - Possibly perm for the right candidate Times:9am -5pm Job Purpose: To contribute to the effective and efficient management and progression of cases, providing administrative support to the local Family Court Advisors and Service Managers, including such areas as monitoring case progression, receiving referrals from the court or the Organisations Intake Team, creating updating and closing cases within ECMS, saving relevant documents, sending letters and information packs to service users, following up any missing information, telephone and reception duties, and other general administrative support as required. Post holders are expected to fully participate in local and corporate meetings as necessary. Precise duties will vary depending on whether support Public or Private Law Teams (or both), and roles may be required to work across both areas as necessary. Core Duties and Responsibilities : Safeguarding Understanding the values and purpose of the organization, and its commitment to safeguarding children. Supporting and contributing to organisational wide activities to meet statutory and professional responsibilities with regard to safeguarding children. Service Effectiveness and Information Management To provide a first-class professional reception service to all internal and external visitors, providing basic information to visitors, deal with routine enquiries and ensure that reception is well presented and accessible. Ensure the visitor booking system is managed on a daily basis, including issue of swipe cards to permanent staff and visitors. To assist with arrangements associated with facilitation of meetings including hospitality, room set up including audio and visual equipment, management of room bookings, arrangement of catering, thus ensuring the smooth running of events, through management of the effective use of on-site meeting facilities in the National Office . To assist in the co-ordination of archiving collections and deliveries, making sure that staff follow the correct procedures for storage/retrieval of files, and that an accurate database is maintained, ensuring compliance with Data Protection and Freedom of Information. Responsible for Health and Safety of self and others, ensuring compliance with legislation and organisations policy. At all times acting in accordance with legislation, National Directives and the organisations policies and procedures Essential Requirements : Minimum of NVQ2 (or equivalent) or willingness to work towards. Experience of working in an office environment. Experience of operating a telephone system. Experience of communicating with staff at all levels. Experience of co-ordinating sub-contractor arrangements Working knowledge of audiovisual equipment. Professional telephone manner. Ability to deal with situations sensitively and maintain confidentiality. It literacy in the use of Microsoft Office and the potential to develop skills further. Can work well individually or as part of a team. Ability to communicate with colleagues and service users in a sensitive, confident and professional manners.
