Overview

Science Resources (Science Administration Team, Research Coordination Office, Postgraduate Studies & Consulting) provide centralised financial administrative support across Science Group. Our aim is to reduce the financial administration burden on front line Science Group staff. The Science Administration Team is responsible for the administration of the core-funded budget of Science Group. Working under the direction of the Science Administration Manager and the relevant Head of Departments in Science Group and their management teams, the Senior Science Finance Administrator (SSFA) supports the delivery of an effective financial and administrative service. The post holder will manage and authorise expenditure requests, manage and exercise budget control, produce regular financial reports for department management teams and work closely with the Finance Department to deliver compliance with relevant policies and procedures. The post holder will be expected to be an advocate for efficiency in financial process and will work with peers to optimise current practices in Science Group. 3. Excellent verbal and written communication skills including the ability to present to senior management and challenge non-compliant spend The ability to build good working relationships and trust with peers and senior staff across the Museum and external stakeholders such as suppliers Ability to manage and prioritise multiple tasks to meet deadlines Proven analytical skills with a systematic approach to problem solving Ability to seek out new and improved ways of working by attaining and assessing feedback to make process improvement recommendations Strong attention to detail and the ability to consistently produce work to a high level of accuracy and to apply scrutiny when required Excellent IT skills and ability to learn new software packages quickly Ability to work to deadlines and prioritise tasks Demonstrable evidence of a strong customer service ethos Desirable Experience of working with financial software. Basic understanding of Project Management / Procurement 4. Main tasks and responsibilities (job description) Work closely with Science Group staff and department management teams to manage, monitor and process core-funded expenditure requests and ensure expenditure remains within budget allocations through planning and forecasting exercises involving Finance. Ensure that procurement and tendering activities follow financial regulations. Provide clear and timely financial management information to department management teams; offering advice and guidance on budget management to ensure that financial decisions can be made confidently and in line with finance best practice. Track expenditure against budget tailoring information from the Finance system and attend management meetings to report on YTD expenditure and year end forecasting as required. Manage annual internal funding bid assessments and subsequent implementation. Manage fixed assets procedure for Science Group (additions and disposals, updating moves and other relevant information). Manage Service & Maintenance schedule for Laboratory Equipment. Take responsibility for briefing Science Group colleagues on new financial processes; ensuring compliance with regulations and soliciting feedback to look for improvement opportunities. Act as a FocalPoint Super User (finance system) and first point of contact for financial issues, advice and training. Work with the Head of Science Administration and the other members of Science Resources Dept to continuously improve efficiency and reduce duplication by unifying and integrating working practices. Act as a liaison between Science Group and other departments, establishing links with departments within the Corporate Service Directorate (including Finance Dept) and as required, other key staff across the Museum to support regular review of administrative and financial processes and systems.
