Overview

Temp to Perm Opportunity Purpose This is a key role focussed on providing excellent PA and administrative support to several of the Vice Presidents of the College, plus formal secretariat and planning support to board and committee meetings at the highest level. The PA/Business Support role contributes towards the delivery of a consistently high level of administrative management and to the optimum functioning and output of the Directorate. The post holder will also be responsible for maintaining key College processes. Main duties - Provide PA support to Vice Presidents including diary management using Outlook, extensive travel arrangements, including hotels and visas. - Support the Business Manager to CEO with business processes including specific committee meeting management and minute taking. - To maintain up-to-date standard operating procedure (SOP) documents for the key business processes relevant to the role and producing new SOPs when required. - Ensure the necessary records are maintained that will readily provide current, accurate and accessible information. - Support the Business Manager to the CEO with general administrative duties. - Contribute to the overall development of the College and its activities, in line with the RCOG strategic and operational objectives. - Any other reasonable tasks required. - Maintain existing systems, procedures, and records in line with College policy. Essential criteria - Excellent communication skills both written and spoken. - Ability to communicate with people at all levels. - Excellent organisational skills. - Excellent IT skills, including Windows-based packages, Outlook, Word and Excel - Attention to detail and ability to work under pressure and to tight deadlines. - Flexible and willing to go “above and beyond” - Excellent minute taking skills - Ability and willingness to maintain the strictest confidentiality - Ability and willingness to work to own initiative and as part of a team - Conscientious, discreet, enthusiastic, reliable and personable individual
