Overview

Based within the Corporate Resources Transformation Team, this role will manage a small team who provide administrative support to the Corporate Resources Directors Office, as well as to key transformation projects. The post holder will be diplomatic and self-motivated, and able to deal with a wide range of enquiries in an efficient and organised manner. The successful applicant will be required to coordinate the team's work in line with established governance procedures. We are looking for someone with excellent IT and communication skills, with a confident and professional manner when responding to queries in person, by email and over the telephone.? The ability to be proactive, work under pressure and prioritise the workload of the team and yourself to meet strict deadlines is essential. Main Responsibilities/Accountabilities: This role will line manage a small team who deliver a comprehensive range of administrative and advisory functions to the Corporate Resources Directors office, as well as to provide Governance and Programme support to Programme and Project Managers within the Corporate Resources Transformation Team. The ability to demonstrate a working knowledge and an understanding of the importance that operational processes and documentation have in supporting decision making and the associated completion of a complex set of activities is key. The role includes the following main responsibilities and accountabilities: Director's Office : Be the principal point of contact for all queries relating to the Director's office, dealing with queries directly where possible or through appropriate referral or delegation to others Where required, co-ordinate diaries of the Senior Leadership Team in Corporate Resources, liaising with other departments and organisations as appropriate. This includes diary management support to Deputy Chief Executive and Director of Corporate Resources, the Head of Finance, and the Assistant Director of HR & Workforce Development, using Microsoft Outlook Screening and prioritising incoming mail to the Director's Office as required. Liaising with Managers and staff across Corporate Resources and other departments as necessary Dealing with confidential and sensitive matters and ensuring that communications and correspondence are handled appropriately Line management of junior members of the team on a day to day basis to ensure that operational tasks are prioritised appropriately and completed in line with required timescales. Contributing towards their personal development and sharing responsibility with them to agree their annual performance goals and expected behaviours and assessing their performance against these objectives. Transformation Programme Support: Supervise and support the maintenance of Transformation Team SharepointSites, logs and electronic libraries and ensure responsible officers are aware of actions and that these are followed up on a regular basis Supervising the day-to-day coordination and monitoring of the Shared Services Partnership Development Request process (with oversight from the Transformation Team Programme Managers), providing support to ensure the progress of developments is understood / are completed in a timely fashion, using the selected technology, tools and reporting; Sense checking content of programme documentation for accuracy and consistency (as defined by the Programme Managers), following up where appropriate Collaborate with Senior Management Team, Programme Managers and IT development leads to ensure the team understand development plans, priorities and schedules. Support the development and communication of release schedules as required Organise, attend and report on key meetings including preparation of agendas, compilation of meeting packs, taking minutes and organising regular project / programme meetings as defined by the Head of Transformation and Programme Managers, in line with appropriate timescales Monitoring adherence to approved governance frameworks, e.g. supporting Programme Managers to check progress against scheduled delivery plans, submission by Project Managers of timely highlight reporting, and escalating risks and issues where necessary to the appropriate Programme Manager; ensure responsible officers are aware of any assigned actions and that these are followed up on a regular basis until completion; Develop collaborative working relationships with Programme and Project managers, and IT delivery leads/owners within Corporate Resources, in order to support the successful completion of transformation programmes and projects Acting as an advocate for the Transformation Team and associated processes, helping business teams to understand and embed any future change to these.
