Overview

This is a unique opportunity for a highly experienced Senior Private PA to join one of the most prestigious Private Family Offices for one of the wealthiest families in the world. Based in Mayfair, Central London, you will join a small and welcoming team and will assist in managing the principals’ busy lifestyle to ensure that everything runs smoothly at all times. Fast-paced and varied, this role requires someone who is confident, proactive, positive, and able to juggle multiple tasks at any one time ensuring the highest of standards are always maintained. This role will best suit someone with extensive Private PA experience (10 years), who is hardworking, resilient, and eager to work for an exceptionally influential family office. Attention to detail is key, as well as excellent communication and IT skills. Usual office hours are 9am to 6pm, but on-call out of hours is required. DUTIES INCLUDE BUT NOT LIMITED TO: Diary management: prioritising and scheduling meetings, appointments and conference calls across different time zones. Correspondence, minute taking and transcribing meetings. Organising frequent travel - flights, accommodation, visas, transportation, transfers, currency, restaurants together with compiling the required materials for trips in advance. Providing support during internal and external meetings, welcoming guests, scheduling room bookings, catering, equipment and meeting materials. Preparing presentations, travel agendas and reports for analysis. Maintaining filing systems and support in organizing. Personal shopping - finding best suppliers for a range of products and services. Organising and assisting with events; birthday parties, dinners and larger functions: managing guest lists, invitations, catering and decoration. Facilitating all requests with creative solutions. ESSENTIAL REQUIREMENTS: At least 10 years’ Private PA experience. University degree or further education. Excellent presentation and well mannered. Fluency in English to mother tongue level Excellent written and verbal communication skills with the ability to be succinct Strong organizational skills, common sense and an eye for detail are essential. Calm with the ability to work well under time pressure to meet deadlines. Enthusiastic, hardworking and self-motivated. Punctual, professional and trustworthy acting with a high level of discretion at all times. Proficient in Microsoft Office Suite. Ability to multi-task, prioritize, be proactive and demonstrate self-initiative. Excellent checkable references.
