Overview

Creative Office Administrator Office Angels Kingston has an exciting opportunity for a Team Administrator to join a great team based in Surbiton. If you are creative and have an interest in the design industry then this is a great opportunity for someone who is looking for a varied role to develop their skills. Duties would include but are not limited to: PA/secretarial support to Surrey Studio including typing letters, filing, letter formatting Formatting and issuing fee proposals Senior staff diary management and setting up of regular management meetings, financial surgeries and group meetings Data entry and MIS (Management Information System) updates Booking & co-ordinating travel arrangements for senior staff Ordering couriers/organising incoming and outgoing post Updating signing in/out book according to management diaries Assist Accounts Department with filing and general administration as required Prepare PowerPoint presentations for group meetings and management presentations as required Back up Reception cover for breaks, annual leave/sickness absence Prepare screen and conference room for CPDs/presentations Obtaining OS and 3D data from Promap for technical staff Archiving Document Control: Tasks would include uploading/downloading, copying and printing of incoming and outgoing project documents and drawings. Provide an auditable trail of incoming and outgoing documentation on projects assigned to the project group using the company's document control tool, i.e. Newforma. Follow approved document control procedures, and work processes and instructions developed for the whole project. These will include, but not be limited to, the following: Architectural Document Control Contractor or Client Data Management Project Library Management Project Standards Management Project Standard Document Numbering Archiving of Project Documents Liaise with the other consultants' document controllers within the project (or equivalent) to ensure secure and timely exchange of information. Perform data input into electronic spreadsheets and databases such as drawings issued registers and drawings received registers Assist when necessary with the following: Tidying the conference rooms Keeping the kitchen tidy and dishwasher loaded/set Management/signing out of Oyster Cards The successful candidate ideally has the following Skills: MS Office skills - intermediate level (Word, Excel, PowerPoint, Outlook) Adobe Creative Suite (InDesign, Photoshop etc.) Basic knowledge of AutoCAD. Revit knowledge beneficial Previous experience using an Electronic Document Management Systems (EDMS) such as NewForma, BIW etc. to maintain documents and records beneficial Ability to work in a methodical and logical manner Excellent organisational skills Proactive and willing to learn High level of attention to detail and focus Calm under pressure Strong communicator especially when managing expectations on output levels and task delivery Ability to work individually and in a team What This Role Can Offer: Salary £22,000 - £25,000 ( Depending on experience ) Working hours : Monday- Friday 9am- 5.30pm This is a highly sought after role and interviews are taking place immediately.
