Please note this role is based in New York All applicants must have existing right to work in US An incredible architecture and interior design firm based in Manhattan are currently looking for a new Studio / Office Manager The firm handle major projects globally and boast an impressive roster of clients. Working with a tight knit team, this lynchpin role as Studio/Operations Manager will be very busy, varied, challenging and rewarding. Responsibilities include support with facilities, finance, HR and generally being the go-to person Facilities Managing relationships with and sourcing external suppliers, negotiating contracts as required Resolving all building maintenance issues and coordinating office repairs, ensuring meeting rooms remain ready for use Ensuring all employees have the equipment and systems necessary for their role, including new starters and desk moves Financial Management - Working closely with the Studio Director and Finance Manager Making authorized office payments and updating logs for all ordering and purchasing for the office Checking and approving invoices Monthly Reconciliation – petty cash, company credit card, company debit card spending Contributing to monthly finance meetings with the directors Human Resources - With support from the Studio Director Assisting with recruitment, liaising with candidates Producing general HR admin including visas, offers and new starter paperwork Administrative support to the Finance Manager with payroll and other financial benefits like 401k IT Helping manage the relationship with external IT Provider Reviewing the company IT strategy and helping to implement new solutions Front of House/Admin Handling all deliveries and distributing post Managing the office calendar, booking meeting rooms Managing printer and stationery levels and maintenance The role will suit a bright and enthusiastic person who has a friendly, outgoing and sociable manner.
