Overview
We are recruiting for an experienced Assistant Research Grants Manager - to join one of London’s leading Universities. If you have previous experience gained within a Higher Education institute , we’d love to hear from you MAIN DUTIES Assist Line Manager in managing Schools portfolio of grants and contracts, and be responsible for monitoring expenditure against grant budget, and alerting LM/PIs/Senior Managers, as appropriate, of potential under- or over-spends. Assist LM in monitoring and processing of research staff changes to funding and contract extensions processing. Reconcile research grant accounts and ensure compliance with funder terms and conditions and accurate and timely reporting to PIs. Work with the Research Services and Contracts Research Officer to progress the timely completion of the research contracts including consortia agreements, subcontracts for the allocated Institutes. Support the LM in set up and monitoring new grants, ensure grant kick-off meetings with grant holders and regular quarterly reporting to grant holders. Ensure timely and accurate grant closure. Maintain accurate records and files on allocated research projects. Financial Reporting and Planning Provide financial data, costings and advice on budgets to Principal Investigators and research staff. Provide regular management information to LM/Senior Managers as appropriate showing status of all relevant account codes with enough data to allow meaningful decision-making. Assist LM with the provision of financial data for Senior Managers when required. General Finance Administration To be a point of contact for suppliers, staff and any other external enquiries. To advise on procedures and appropriate contacts. Manage and implement systems for filing of financial records in relevant folders, databases, and spreadsheets. Responsible for raising invoices, requisitions and purchase orders and receipting goods, for allocated research grants. Investigate and resolve discrepancies and queries arising on accounts, involving liaison with financial systems, departments, and outside suppliers. Assist LM in managing financial processes associated with deadlines such as month-end and year-end tasks. Keep all information confidential and comply with data protection and ethics legislation. Other Duties Contribute to staff meetings and working groups Develop good working relationships with key contacts within administrative departments and seek advice on HR, Finance and legal matters as required. Maintain an up to date understanding of Financial Regulations and apply it to the department’s activities. Provide basic cover for other administrative staff as required. Continue to develop skills and knowledge in working practices, systems, policies and procedures. PERSON SPECIFICATION Undergraduate degree or equivalent level of knowledge and experience. Significant experience of providing and developing administrative support and processes Knowledge of research funding bodies, processes and regulations within a HE environment. Experience of research grant administration in the Higher Education Sector Knowledge of contemporary strategic issues and challenges facing both higher education and the research specialism of the School Desirably management or accountancy qualification Skills and abilities Excellent level of oral and written communications and interpersonal skills in order to correspond and interact with a variety of people in a range of formats. High level of numeracy, with the ability to understand and interpret a variety of figures and statistics and deliver accurately against operational deadlines. Strong analytical skills, including the ability to absorb and analyse multi-level data and information to identify issues and to prioritise actions A commitment to customer focus and the need to provide an efficient, professional and effective service to the many users and contacts both internally at all levels of the organisation and externally. Ability to meet tight individual and organisational deadlines and to manage own workload through effective prioritising, time management and organisational skills and an ability to work under pressure whilst maintaining close attention to detail and accuracy Ability to be discreet and maintain confidentiality when dealing with a variety of student and staff data.
