Overview

We are recruiting for a Personal Assistant (on either a Part of Full time basis) to support a successful Director / Business Owner who operates as the primary Financial Adviser for a practice of St. James’s Place Wealth Management based in Tunbridge Wells. Role overview To provide support to the Business Owner who is the primary Financial Adviser in all aspects of business operations and marketing administration within the Practice. Working within a small team within a very busy office environment, the Personal Assistant (PA) will provide 1:1 support to the business owner ensuring his diary is fully maintained at all times, and he is where he needs to be at any given time. He has a very busy diary, and therefore it is important that the PA is fully organised operationally and is capable of ensuring he fully prepared for all meetings in advance. On occasions the PA will also attend the client meetings to provide note taking Given the small team size, it is integral that the PA is a good team player, and happy to turn their hand to tasks outside their remit on occasions to meet the needs of the business, supporting other team members. Role responsibilities Managing the Director's emails in the form of acknowledging / forwarding on to relevant team members / taking action / setting up tasks and saving appropriate emails Manage the Director's telephone calls to client and business contacts / ensure calls are carried out / ensure client calls are recorded using the Practice CRM system Assist the Director with producing the client file notes once client meetings have taken place Task management Attend meetings to help with file notes where required Manage the Director’s diary to include client and business appointments; Make travel bookings and travel arrangements as required for the Director. Implement, operate and maintain effective systems, processes and procedures which enable Director to optimise client meetings; Support the Director and Practice Manager in tracking compliance, licensing, CPD, regulatory and legislative requirements; Support the Director with the LinkedIn profile and related marketing activity; Attend forums and workshops as appropriate; Project a professional image in both appearance and attitude and provide quality support on time to agreed standards; Attend and contribute to regular update meetings with the Director; Maintain a good working relationship with team member/ colleagues, clients and third parties Knowledge and Skills required: Previous experience in a PA/office support role, ideally in financial services or IFA Practice; Knowledge of relevant FCA regulation and products, and their practical application; Experience of setting up and maintaining systems, processes and procedures; Comfortable with/experienced in using electronic (client) data systems; Excellent face-to-face and telephone client interaction skills and ability to build rapport swiftly; Highly computer literate - Broad experience of Microsoft Office (Outlook, Word, PowerPoint, Excel); Good organisation and administration skills; High level of attention to detail; Manages time effectively with the ability to multi-task; Keeps calm when faced with conflicting demands and handles these effectively; Demonstrates a professional, proactive and positive attitude; Presentable at all times; as will regularly attend client meetings with the Director, and will meet and greet clients on a daily basis Strong team player - happy to work and support other team members to meet the needs of the business. Able to work independently once fully up and running, as well as on shared goals as part of a team. Additional information Salary: £20-25K per annum pro-rata Location: Tunbridge Wells, Kent (TN1) Holiday: 20 days per annum, plus bank holidays (pro-rata) Pension: Contributory matching pension of 5% Employer / Employee contribution. Travel: Occasional travel to alternative offices or client premises Type of Work: Full or Part-time opportunity available. Hours of Work: Between 25 to 35 hours per week. Core hours between 9.00am (or 8.30am) - 5.00pm Monday to Friday. Minimum 5 hours a day required, 5 days a week. Start time either 8.30am or 9.00am every day dependant on candidate preference.
